Guide to the preparation of the first offers

The beginning of each order is the offer. Create a new offer in the area Sales > Offerand fill it with all necessary information and the products you want to offer.

It will be helpful if you systematically work your way through from top left to top right below. This reduces the risk of forgetting or overlooking information.

So you first select the customer to whom you want to send the offer. If the customer is already stored in the system, you can select him using the quick search or you can create him directly here. You can then manage all customer data under Sales/Organizations

Contact persons, billing address and partner conditions (for commission agreements) can then be added or edited. Keyline automatically saves all contact data separately for each organization and can therefore be called up in all future offers. 

In the second line Keyline automatically stores the calculating customer advisor. You can also create another contact person, who will be shown on all offers, order confirmations and invoices. (Sales responsibility means that the contact person automatically receives a copy of all PDFs created and sent by e-mail.)

The date of completion defined by you and the type of dispatch specified result in the delivery date. (e.g. self-delivery 0 days, DHL Express +1 day, forwarding +2 days)

Now you can add a product - either based on an existing product template or create a completely new product. A detailed step-by-step guide can be found here.

As soon as you have created at least one product in your order, you can now optionally specify the terms of payment, the pricing of packaging & shipping and, if applicable, the environmental certification.

Additional text appears on all offers and order confirmations and serves all additional information. (e.g. shipping address, optional costs for special services, etc.).

You can view the PDF of the offer and edit the e-mail text if required. 

As soon as you have sent the offer, the paper plane is green in the order view. Depending on the setting of the customer's e-mail server, you will also receive feedback about the delivery and whether the e-mail has been read.
