Summary: 

Reviews in People by Wagepoint consist of a review template (configured separately), and a review between a reviewer (Manager and above), and a reviewee (any employee).

The workflow begins with an HR Manager creating a review template, then adding and configuring a new review. HR Managers can choose a review template when configuring a new review, then add a timeline for completion, files for both parties, and leave any and all instructions to both the reviewer and the employee. A category can be selected or added for organizing reviews.

Next, the HR Manager will select the reviewer and the users to be reviewed. More than 1 reviewer and their employees can be selected in this step, however reviews in People by Wagepoint are always 1-1. This will create a separate review for each employee chosen.

Once the review configuration is saved by the HR Manager, the reviewer and employee will receive an email notification, as well as a task, to begin their review. Each person will be able to see any files and the instructions left by the HR Manager, and answer the designated questions. The parties can save their feedback and come back to it before sharing with the other. Once each person has shared their feedback, both will be able to review each other’s entries, and comment on the entries. A reviewer can schedule a day and time for an in-person meeting with the employee at any point in this process.

The review can be open for as long as it takes to complete. After the feedback is reviewed and discussed, both the reviewer and employee can answer and comment on follow up questions (if applicable) and sign off on the review. The review is locked and un-editable once the reviewer signs off. An HR Manager can unlock reviews if necessary, which will re-open the feedback sections and require both parties to share their feedback and sign off on the review again.

Steps: 

An HR Manager creates a template

  • Click on the Employee Reviews tab

  • Click Manage Templates

  • Create a template with questions for the review

  • Save the template to be used within a review

An HR Manager creates a Review

  • Click on the Employee Reviews tab

  • Click Add Review

  • Choose a template for the review

  • Add a timeline for review completion (optional)

  • Attach any supporting files to a review (these can be questions, forms, reports, projects, etc.)

  • Choose a category or create a new one to organize your reviews

  • Select a reviewer and employee(s) for that person to review

  • Enter instructions for the review for the Manager and the Employee. This can include any links, questions, and directives you’d like the review to follow. Keep in mind, each set of instructions will only be seen by that party

  • Click Save Reviews to launch the reviews

Now, the reviewer and employee receive emails and tasks to begin their feedback. 

A reviewer can conduct their reviews with these steps: 

  • Toggle to the company view in Kin

  • Click the Employee Reviews tab

  • Click on the review you like to begin

  • Schedule the review meeting if applicable. Meetings must be scheduled prior to the reviewer submitting feedback to the employee. They can be scheduled any time if the feedback is still saved as a draft

  • Review employee time off and start date, instructions, objectives, and any files that are attached

  • Attach any of your own files to the review. Files can be attached up until the review is signed off on

  • Answer the questions in the review and add comments

  • Save your feedback as a draft to share at a later date, or submit your feedback to the employee

  • Once your feedback is submitted it is no longer editable

  • Once the employee shares their feedback and yours is also shared, you will be able to review the employee’s comments

The employee can enter their feedback at the same time as the reviewer by following these steps:

  • Click the task on the Today page in Kin, or click the Reviews tab

  • Select the review you’d like to begin

  • Review the instructions, your objectives, and any files attached to the review

  • Attach any of your own files to the review. Files can be attached up until the review is signed off on

  • Answer the questions in the review and add comments

  • Save your feedback as a draft to share at a later date, or submit your feedback to the reviewer

  • Once your feedback is submitted it is no longer editable

  • Once the reviewer shares their feedback and yours is also shared, you will be able to review the reviewer’s comments

Once the reviewer's and the employee's feedback is shared, both parties can review the other's feedback. At this point, the review should be ready to be discussed in person

  • The reviewer and employee can have the review open on Kin, and discuss the review

  • Last, the reviewer can answer follow up questions (if applicable) and sign off on the review first, followed by the employee

  • Once the reviewer signs off, the review will be locked and no longer editable by either the reviewer or employee

  • HR Managers can unlock a review if necessary
