Integrating Kintsugi with Quickbooks

This guide provides step-by-step instructions for integrating Kintsugi with QuickBooks Online for tax calculation. Follow these steps to connect your QuickBooks account with Kintsugi.

Access the Kintsugi Account

  1. Navigate to the Kintsugi Portal.

    1. If you already have an account, log in using your username and password.

    2. If you do not have an account, follow the prompts on the screen to sign up and create a new account.


c. Once logged in, you will be able to access the Kintsugi Dashboard.

Initiating the QuickBooks Integration

  1. On the Dashboard, locate the Data Sources section.

2. Under the Data Source section, Click on Browse Integrations (as shown in the image).

3. Locate Quickbooks in the integrations section and click connect.

4. Before connecting any integration, ensure that all onboarding tasks are completed. You will need to complete the following four tasks:

  1. Import Transactions – Sync your existing transactions.

  2. Add Presence – Provide business location details.

  3. Add Organization Details – Enter company information.

  4. Add Bank Details – Link your bank account for tax calculations.

5. If onboarding is incomplete, you will be prompted to enter your business address before proceeding.

6. Before proceeding with the integration, ensure that you accurately fill in your business address details.

7. You will need to enter:

  1. Legal Business Name

  2. Country & State

  3. City & Postal Code

  4. Address Line 1 & Address Line 2 (Optional)

8. Once all required fields are filled, click Submit to proceed. Properly entering these details ensures a seamless integration experience.

9. If you have already completed the business address setup during onboarding, you will be directly prompted with the "Connect to QuickBooks" option, as shown in the screenshot.

10. The Unauthorized status indicates that QuickBooks has not yet been linked.

11. Click "Connect to QuickBooks" to proceed with the authorization process.



Authorize and Connect to Quickbooks

  1. After clicking "Connect to QuickBooks", follow these steps:

    1. Redirect to QuickBooks Login Page

      1. You will be automatically redirected to the QuickBooks Online login page (as shown in the screenshot).

    2. Enter Your Credentials

      1. Input your Email or User ID in the designated field.

      2. If you prefer, switch to the Phone tab to log in using your registered phone number.

    3. Sign In to Your Account

      1. Ensure the "Remember me" option is checked if you want to stay logged in.

      2. Click the "Sign in" button to proceed.

    4. Create an Account (If You Don’t Have One)

      1. If you're new to QuickBooks, click on "Create an account" at the bottom of the page.

      2. Follow the on-screen instructions to set up your account.

    5. Complete the Integration

      1. Once logged in successfully, QuickBooks will authorize the connection, and your Kintsugi integration will be successfully set up.

      2. You will be redirected back to Kintsugi.

    7. Your Kintsugi integration is now active! Kintsugi will automatically manage tax calculations for your transactions in QuickBooks.

  2. Your active integrations will be visible in Data Sources section.

    Verify Product Classification in Kintsugi

    1. Navigate to the Products section in your Kintsugi dashboard.

    2. Ensure that all products are correctly classified under their respective categories and subcategories.

    3. Proper classification ensures accurate tax calculation and product mapping.

    Disable Automated Sales Tax (AST) in QuickBooks Online

    1. Kintsugi handles tax logic independently. If you’re using QuickBooks Online, you must disable and override Automated Sales Tax (AST) to avoid conflicting tax calculations.

    2. To disable AST in QuickBooks, Go to the Taxes menu, then select Sales Tax.

    3. Click on Sales Tax Settings.

    4. Disable each tax agency by clicking Edit > Make inactive. If you don't have this option, click Edit and set the Set the Start date to 1/1/2099.

    5. Add a custom tax rate for Kintsugi to avoid double taxation. You will select this rate on every invoice.

    1. Click Add agency button, then click Add custom rate

    2. Set name to Kintsugi

    3. Select any Agency

    4. Set the Rate to 0.00

    5. Click Save

Enable Tax Collection in Kintsugi

  1. Once your QuickBooks connection is established and your organization is ready, you can enable tax collection in Kintsugi.

  2. The “Enable Tax Collection” option becomes available only when the following conditions are met:

    1. The connection to QuickBooks has completed its initial data import.

    2. Your organization has established physical nexus in at least one jurisdiction.

    3. You have at least one active tax registration.

    4. Your organization details are fully completed in the system.

Once these requirements are fulfilled, you can enable tax collection from the Kintsugi dashboard.
