Understanding the Admin Dashboard

The Admin Dashboard gives district leaders a central place to view activity, manage access for staff users, and ensure schools, classes, teachers, and students are set up correctly on the platform.

The Admin Dashboard provides district-level visibility and control across your schools. It’s designed to give administrators actionable insights into teacher and student usage, helping you track adoption, support onboarding, and ensure seamless setup across your district.

Note: Schools or districts using manual rostering will not have access to the Admin Dashboard at this stage. All customers using an integration (via Clever or Edlink) have access to the dashboard.

Accessing the Dashboard

District Administrators can access the Admin Dashboard directly through:

  • app.kognity.com, or

  • The Clever or ClassLink Launchpad, by clicking the Kognity icon.

Once logged in, the Admin Dashboard will appear as the default home screen for district-level users.

Navigation Overview

Here are the options in the Admin Dashboard

From the left-hand menu, you can access:

  • Overview

  • Schools

  • Year Groups

  • Classes

  • Access

  • Teachers

  • Students

  • Subscriptions

  • Invoices

  • Back to classroom

Overview

The Overview page gives you a quick snapshot of your district setup and engagement. You'll see:

  • Number of schools

  • Number of teachers

  • Number of classes

  • Number of students

If your team has hit an engagement milestone (such as a teacher activation goal), you'll also see a goal banner at the top of the page summarizing your progress, along with a prompt to share teaching resources.

Below your district stats, the Support opportunities section highlights recommended next steps to help your team get more out of Kognity, such as enabling Question Assignments or exploring short training videos and guides for teachers.

Further down, the Highly active teachers section showcases your most engaged teachers, including their active hours and assignments set. From here, you can view all teachers or send kudos to recognize strong engagement.

Before sending any nudge — whether it's kudos, a resource share, or an assignment nudge — you'll be able to preview the actual email, including the subject line and recipients, before it goes out. This ensures you can review the message before it's sent in your name.

Schools

The Schools page lists all schools in your district. For each school, you can view:

  • Number of classes, teachers, and students

  • Date the school was added

Use the search bar to quickly locate a specific school, or use the filter dropdown to narrow the list by school type. Click on a school name to view further configuration details and ensure data accuracy.

Year groups

The Year Groups page allows you to view and manage year groups across your schools. For each year group, you can see:

  • The school it belongs to

  • Subscription

  • Number of students

  • Archive date

Use the search bar to find a specific year group, or use the school filter to narrow results to a particular school. You can toggle between Active year groups and Archived year groups using the dropdown filter. To add a new year group, use the Add year group button in the top right.

Classes

The Classes page allows admins to dive deeper into class-level data — including student performance and assessment insights — to better support teachers with adoption and pedagogical alignment.

For each class, you can view:

  • School

  • Teachers

  • Number of students

  • End date

Use the search bar to find a specific class, or use the filters to narrow results by school, subject, or class status. To create a new class, use the Create class button in the top right.

By clicking the class name you enter the class, acting as a teacher. This view allows you to:

  • Access the Insights feature that provides both class-level and student-level performance insights

  • Access the full Kognity learning material connected to the class

  • Access the Assignment feature to view and create assignments for the class

To the right of the list of classes, the Actions (⋮) menu gives you quick access to:

  • Visit class – enter the class directly

  • Go to class insights – jump straight to the Insights feature

  • Go to class members – view the students and teachers in the class

  • Delete class – remove the class

Access

The Access page allows district administrators to manage access for key staff members, such as principals and coordinators.

Here you can:

  • Search for staff by name using the search bar, or filter by role

  • View their Access (e.g. Teacher, Admin)

  • Adjust permissions by selecting Edit access next to their name

When editing access, you can assign one or more roles:

  • Teacher – grants access to classes, students, and teaching materials in the selected school

  • Admin – grants access to school settings, including student data, and the ability to promote other users to admins

You can also specify which school the access applies to before saving your changes.

This feature helps ensure that only authorized staff have the appropriate level of access to school and district data.

Teachers

The Teachers page provides detailed usage data for all teachers. Here you can:

  • Filter or search by school

  • Review total usage time

  • Check the number of assigned classes

  • View last active date

You can also select one or more teachers using the checkboxes to Reset password, Send invitation, Delete, or Clear all. To export the full list, use the Export as CSV button, or add a new teacher using the Add teacher button in the top right.

This helps identify high-engagement teachers (to celebrate and model best practices) and those who may benefit from onboarding or additional support.

Students

The Students page offers insights into student engagement and class participation. You'll be able to see:

  • The school they belong to

  • Number of enrolled classes

  • Sections completed

  • Total usage time and last active date

Use the search bar to find a specific student, or filter by school or year group. You can also select one or more students using the checkboxes to Reset password, Send invitation, Delete, or Clear all. To export the full list, use the Export as CSV button, or add a new student using the Add student button in the top right.

This makes it easy to spot students who may need guidance or additional follow-up.

Subscriptions

The Subscriptions page allows district administrators to view and manage licenses across their schools.

At the top, you'll see an Upcoming renewal banner if a subscription is due to renew soon, showing the product name and renewal date.

For each subscription, you can view:

  • Product

  • School

  • Licenses (used / total)

  • Price (current year)

  • Expiry date

  • Status

Use the search bar or school filter to find a specific subscription.

The Renewals table below shows upcoming renewal orders, including the order number, product, school, number of licenses, renewal price, and start date. Use the Actions column to manage a renewal, including updating your student license count for the next year.

When updating licenses, you can adjust the quantity for each license type. Changes can be made up until one month before your renewal date. The total cost updates automatically based on quantity and cost per license, and you'll be able to see when your next invoice will be issued before submitting changes.

Use Manage subscription to make changes.

Invoices

The Invoices page allows district administrators to view billing history across their schools.

For each invoice, you can view:

  • Invoice number

  • School

  • Invoice date

  • Due date

  • Amount total

  • Status (e.g. Paid)

Use the filter by school, or the All statuses dropdown, to narrow the list. Use the View button next to an invoice to open it directly.
