Contact statuses, lead types, and hashtags are all ways to easily organize your book of business within the Smart CRM for automated nurturing and quick filtering for mass actions.

Contact statuses refer to where the contact is in your pipeline. Sphere and Active Leads will most likely need different conversion methods. And a New Lead is very different from a Client. Statuses are great indicators of what stage a contact is in and what they need from you as a real estate agent.

Lead types, on the other hand, refer to the type of contact that you are working with regardless of where they are in the buying/selling process. There are five available lead types in kvCORE:

  1. Buyer

  2. Seller

  3. Renter

  4. Vendor

  5. Agent

Because a seller lead can turn into a buyer after their sale closes and a fellow agent could need your help with a home purchase of their own, each contact in your Smart CRM can have more than one lead type as necessary.

Adding a Lead Type to a Contact

There are two ways to add a lead type to a contact:

  1. When adding or importing them into your Smart CRM.

  2. After adding them into your Smart CRM.

When Adding Contacts

Manually Adding Contacts via the Smart CRM

If you manually add a contact there is an option to choose one or more lead types from the pop-up that appears.

TIP: Occasionally, you may see "Deal Type" instead of "Lead Type"; these both refer to the same five available label options.

Bulk Import

If you are importing a bulk list of contacts, the import template will have a column labeled 'Deal Type' that you can use to add one or more lead types to.

TIP: If you need to label a lead as both 'buyer' and 'seller' in your import, use a pipe to separate the two terms, not a comma. For example, "buyer|seller" should be what you add into that contact's lead type field.

Lead Dropbox

If you have connected any third-party lead sources via your Lead Dropbox options, like Zillow, the default lead type will be 'buyer'.

If you are using a Zapier connection to zap new leads into kvCORE, you can choose which lead type(s) are added to those leads when setting up the Zap.

After Adding Contacts

If you have already added a contact, you can easily go back into their record in the Smart CRM and choose a lead type or change what is already applied.

  1. Log into your kvCORE account.

  2. Navigate to the Smart CRM tab to the left.

  3. Search for the desired contact and click on their name.

  4. Navigate to the lead types.

  5. Select or unselect the types you'd like applied to the contact.

Filtering for Lead Types

If you have a new listing to announce to your buyers or a selling tip you would like to share with your sellers in a blast email or text, filtering for a particular lead type in your Smart CRM is the best way to find those contacts.

1. Log into your kvCORE account.

2. Navigate to the Smart CRM tab to the left.

3. Click on the "Filter" button in the top left.

4. Click 'Contact Details'.

5. Check the box next to the applicable lead type(s).

6. Click the green "Apply Filters" button at the bottom of the list.

kvCORE will display only the contacts that have that lead type chosen in their record and you can then use one of the mass actions to communicate your message or use a lead type filter along with another filter, like contact status, to really narrow your results down.

Lead Types and Smart Campaigns

In addition to organizing your contacts, lead types can be used as a trigger for a Smart Campaign to be automatically applied to a contact.

Most of the default campaigns use either Buyer, Seller, or both with a few that include all lead types. You can edit an existing campaign's lead type trigger and choose one or more lead types when creating your own campaign.

Editing Lead Type for Existing Campaign

When looking at your list of campaigns added to the 'My Library' section, simply click on the name of the campaign you would like to edit the lead type for. Once you are in the campaign details page, you can adjust the settings.

Please Note: You will only be able to edit unlocked campaigns (meaning your Admin enabled editing) or ones that you have created yourself.

1. Click the 'Edit' button in Campaign Settings.

2. Click the green "Next" button at the bottom of the pop-up.

3. Choose the desired lead type on the second step titled 'Designed For'.

4. Click the green "Next" button until you come to the last step.

5. Click the green "Edit Campaign" in order to save your changes.

Choosing Lead Type for New Campaign

As you go through the process for creating a new Smart Campaign you will be asked which lead type you would like to be included as a trigger.

1. Click the green "+ Add Campaign" button to the right of your campaign list.

2. Once you have finished choosing your initial trigger(s) on the first step, click the green "Next" button.

3. Choose the desired lead type on the second step titled 'Designed For'.

4. Continue through the rest of the steps in order to create the campaign.
