[kvCORE] DocuSign Transaction Rooms - User Provisioning Overview

IMPORTANT: The feature discussed in this article may not be enabled for your kvCORE account.

Step 1: Verify Permissions

You will only be able to invite users to DocuSign through kvCORE with the following permissions:

a. kvCORE: Admin status within kvCORE.

b. DocuSign Rooms: Permission to add members to the DocuSign Rooms company account. For more information on DocuSign role permissions, click here.

A person with the necessary permissions will see a blue ‘Invite to DocuSign’ button displayed above the agent table in kvCORE.

If you do not see the button, you do not have the necessary permissions in the DocuSign Rooms Company account and will need to contact the Admin of that DocuSign company account to request member management capabilities.

Step 2: Inviting Users in kvCORE

First, navigate to the main dropdown menu and select 'Agents.

Then, select the users you would like to invite to DocuSign using the checkboxes next to their name on the left side.

You can select individual users or up to 250 users at a time.

Then select 'Invite to DocuSign'

Select the Role, Access Level, and Permission Profile.

If you are inviting an Agent, you will select the following:

  • Role = Agent

  • Access Level = Contributor

  • Permission Profile = DS Sender

Please Note: If an Agent already has DocuSign Transaction Rooms enabled there will be a green checkmark next to their name. You can remove them from the invite using the 'Remove Users with DocuSign enabled'

Click the green ‘Invite to DocuSign' button.

A green notification will pop up in the lower right-hand corner of the screen confirming that the users were successfully invited.

Step 3: Accepting the Invite

Have the Agent check their email inbox for an invite email from DocuSign. The email will be sent to the same email address that you use for kvCORE.

Please Note: This email expires after 30 days.

  • From: DocuSign via DocuSign <dse@docusign.net>

  • Subject: You've been invited to join DocuSign Rooms

To Accept the Invitation:

Click on the yellow ‘Accept Invite’ button from within the email.

Then, select a password and security question. Click on the yellow ‘Activate’ button.

Click on the yellow ‘Accept Agreement button.

Click ‘Accept’ for the kvCORE permissions.

You will automatically be redirected to the kvCORE dashboard or the login screen.

IMPORTANT: If you are redirected to the login screen, make sure you log in to kvCORE to complete the activation process. If you do not log in, your DocuSign account will not be linked to kvCORE and will have to be done manually through the DocuSign kvCORE marketplace tile.

Troubleshooting Common Errors

Scenario 1: User Has an Existing Rooms Account

The Admin completes the steps to invite the user. However, an error message pops up stating 'The member is part of another company.'

The user will need to complete one of the following actions:

  • Change their email address in their existing DocuSign Rooms and eSign accounts. Link to support article.

  • Contact DocuSign support at support-re@docusign.com to request to have their Rooms account deleted. They need to request to close their account and they need to send the request from the email address attached to the account for proof of identity and accurate account identification

Once one of the above actions is completed, the Admin can provision the user.

Scenario 2: The member has already been added to the company

An error message displays that states 'The member has already been added to the company' when a user has already been invited to DocuSign through kvCORE but they have not accepted the invite.

Please Note: The invite email expires after 30 days.

The user will need to find the invite email from DocuSign.

  • From: DocuSign via DocuSign dse@docusign.net

  • Subject: You've been invited to join DocuSign Rooms

Then, complete the steps outlined in Accepting the Invite.

If the user cannot find the email or receives an error message that the invitation has expired, the user will need to notify their Admin.

Scenario 3: I already invited a user to DocuSign but they lost the invite email or it expired.

You can only invite a user through kvCORE once. In this scenario, you will need to send them another invitation through the DocuSign dashboard. For information on sending an invite through DocuSign, click here.
