[kvCORE - Admin] How to Mass Email and Text Your Agents

Overview

As a Company, Office, or Team Admin in kvCORE you have the ability to send a mass email or mass text to all the Agent users within your scope. Company Admins can email/text all users in the account, Office Admins can email/text everyone in the office(s) they oversee, and Team Admins can email/text everyone on their team.

While kvCORE does not track or log the communications sent to Agents from their Admins, it is an efficient way for Admins to send brokerage/office updates and training/meeting reminders as well as individual messages to specific Agents as needed.

Please Note: There is no similar way to communicate with Lender users within your kvCORE account. You will need to email them outside of kvCORE using your regular email provider.


Sending Communications as a Company Admin

In order to successfully send out a mass email or text each Agent must have a valid email and phone number otherwise they will not receive the message as intended. This is another reason it is important for you to require your Agents to complete the Agent Quick Start as that course will instruct them how to properly set up their profile.

1. Log into your kvCORE account.

2. Click on your email address in the top right corner.

3. Click on the 'Agents' option from the drop-down that appears.

You will see your mass communication options along the top of the Agent Roster that appears and you can now choose which avenue best suits your purpose.

Welcome Email

The Welcome Email option automatically sends kvCORE's default welcome message via email to the Agent(s) you have selected from the list. Because newly added Agent users will not automatically receive the default welcome email it is important that you send this email containing their login information.

Please Note: You will not be able to send a welcome email until all onboarding tasks are completed. Click here to learn more.

Simply check the box next to each name of the Agents you need to generate a welcome email for and click the "Send Welcome Email" button.

Please Note: There is no way to change the default welcome email's content, however, you can create your own welcome email message and use one of the other two email options to send it to new Agents.

TIP: All emails sent from kvCORE come from "no-reply@kvcore.com" so encourage your Agents to save this email address in their contact list so their email provider does not filter these messages to the Spam box.

Mass Email

The Mass Email option allows you to choose which Agent users you would like to send a particular message to so this tool is what you would use to send office or team-specific information to.

TIP: Use this communication method if you want to avoid sending a message to any Inactive and Roster Only users. Mass Email allows you to pick who receives the message whereas the other options do not and they ignore Inactive/Roster Only status.

Just like with the Welcome Email you will need to check the box next to each Agent's name that you wish to send the email message to.

TIP: Use the grey "Filters" button to generate a list of specific Agents. Using the 'Last Login' filter will help you narrow down the Agents who have not logged in recently and you can use the Mass Email option to send them a reminder to log in and work the company-generated leads they may be receiving.

Email All & Text All

Both of these options will send the chosen communication to ALL Agent users regardless of any checked boxes so only use this method when you wish to address every single user in your Agent Roster.

TIP: When mass texting your Agents, use a merge tag to include your name and phone number or manually enter the information so they recognize who is texting them!

The text message will be sent from the Company Smart Number to the number in the Agents' Cell Phone field in their profile. At this time, Agents are unable to respond to the message.

Office Admins have different access to mass communication options, but in order to successfully send out a mass email or text each Agent must have a valid email and phone number otherwise they will not receive the message as intended.

Mass Email

Office Admins do retain access to the Mass Email option, but only have the ability to communicate with the Agents in their Office(s) that they oversee.

1. Log into your kvCORE account.

2. Click on your email address in the top right corner.

3. Click on the 'Agents' option from the drop-down that appears.

You will see the Mass Email option which allows you to choose which Agent users you would like to send a particular message to so this tool is what you would use to send office or team-specific information to.

3. Click on the 'Offices' option from the drop-down that appears.

4. Click on the name of the Office whose Agents you would like to email or text.

You will see both 'Email All' and 'Text All' options in the top right and you can now choose which method you would like to use to send your message to these Agents.
