Overview

CORE Voicemail Drop gives you the ability to send voicemails straight to your contacts' inboxes without having to initiate an actual call or triggering a contact's phone to ring.

Using the CORE Voicemail Drop add-on in your kvCORE account provides you with another communication avenue to grow your relationship with your contacts, regardless of their status in your pipeline.


Ready to Get Started?

To find more information, navigate to the Marketplace in kvCORE. Scroll down until you see the 'Voicemail Drop' tile and select 'Learn More'. Pricing is displayed within the Marketplace tab.

After you have purchased this add-on you will be able to start using it immediately!


Using CORE Voicemail Drop

Voicemails can be sent to individual contacts or be sent to multiple contacts at once all from your Smart CRM.

Please Note: This add-on cannot be accessed from the kvCORE Mobile App nor does it work in conjunction with the auto-dialer function within the app.

Contacts who are on your “Do Not Call” list will not receive a voicemail if they are selected as part of a mass voicemail drop. Attempting to send one to an individual contact will bring up an error message stating that the selected contact is on your “Do Not Call” list.

You are able to confirm how many voicemail credits you have left for the calendar month you are in when you are looking at the CORE Voicemail Drop screen as well.

Voicemail credits equal how many individual voicemails you have left in the month and are automatically updated whenever you drop a voicemail. One voicemail credit will be used per contact, so if you are dropping a voicemail to 10 contacts at once you will use 10 credits.

If you are subscribed to one of the two lower credit amount plans, you may upgrade to a higher credit amount at any time and the larger amount of credits will be available at the beginning of the next month when your billing renews.

Your monthly credit amounts do not roll over, so if you do not use all of them your credit amount will be reset when your billing renews for the next month.

Sending a Voicemail to an Individual Contact

1. Log into your kvCORE account.

2. Navigate to the Smart CRM from the main navigation on the left-hand side.

3. Search for the desired contact and click on their name.

4. Click on the "Voicemail Drop" button on the right side of the contact profile.

5. You can then choose to record a new voicemail and send it as a one-off message or you can select a pre-recorded voicemail message and send that to your contact.

6. Once you are done recording your message or have selected a pre-recorded option, click the green "Send Voicemail".

The contact's Timeline will update to include a note indicating a voicemail was sent.

Sending a Voicemail En Masse

1. Log into your kvCORE account.

2. Navigate to the Smart CRM to the left.

3. Use the grey "Filter" button in the top left corner to search for the contacts you would like to send a message to.

4. Check the boxes next to the names of the desired contacts.

5. Click on the 'More Actions' drop-down menu at the top of the contacts table.

6. Choose 'Send Voicemail(s)' from the drop-down menu that appears.

7. You can then choose to record a new voicemail and send it as a one-off message or you can select a pre-recorded voicemail message and send that to your contact.

8. Once you are done recording your message or have selected a pre-recorded option, click the green "Send Voicemail".

Each contacts' Timeline will update to include a note indicating a voicemail was sent.


Managing Voicemail Recordings

While you have the ability to create and save a voicemail message anywhere voicemail dropping is accessible within kvCORE, like a contact's record, all saved recordings will appear in the Templates section of the Smart Campaign builder tool.

You can easily add new recordings or delete existing ones by accessing this area.

1. Log into your kvCORE account.

2. Navigate to the Marketing tab to the left.

3. Click into the Smart Campaigns tile.

4. Click into the Templates tab at the top.

5. Click into the Voicemail tab below the Templates tab.

If you would like to create a new recording, simply click on the green "+ Add Template" button to the right.

Choose the 'Voicemail' option from the drop-down that appears.

Choose whether you would like to record the message now or upload an existing audio file from your computer.

Once you are done, all the saved voicemail templates will appear in the list under the Recording Name section where you are able to preview the message or permanently delete it.

This list of saved recordings will be accessible when you try to drop a voicemail to any of your contacts moving forward.


Frequently Asked Questions

What is CORE Voicemail Drop?

CORE Voicemail Drop is an additional feature that kvCORE users can purchase a subscription to from the Marketplace.

It gives Agents the ability to send voicemails straight into their contacts' inboxes without having to initiate an actual call or triggering a contact's phone to ring.

Where can I use it in kvCORE?

There are two places in kvCORE where you can access CORE Voicemail Drop and send messages:

In the Smart CRM you can drop voicemails to an individual or multiple contacts at once. You can also add pre-recorded voicemail templates as action items to any applicable smart campaigns.

How do I purchase this Add-On?

To purchase this add-on, simply log into your kvCORE account and navigate to the Marketplace tab to the left.

Once there, click on the "CRM Add-Ons" button from the list along the top.

You will see the CORE Voicemail Drop tile from the filtered list and can click on the "Learn More" button to choose your subscription and access the billing details page.

After you have purchased this add-on you will be able to start using it immediately!

Is this Add-On available for Canadian users?

Yes! CORE Voicemail Drop is available to kvCORE users in both U.S. and Canada.

What phone number appears on my contacts' caller ID?

Voicemails show as sent by the default Smart Number in your kvCORE account, whether that is the Office Smart Number or a personal number you purchased via the Smart Number Add-On tile in the Marketplace.

Does this work with landlines?

No. Voicemails can only be dropped to cell phone numbers at this time.

Do voicemail drops count towards my daily calls to complete?

No. Your daily calls to make list can only be completed by actively calling the contact from your kvCORE Dashboard or the kvCORE Mobile App.

How do I know a voicemail was dropped successfully?

The contact's Timeline will display a note with the date, time, and title of the voicemail that was dropped to the phone number in their profile.

Another note will appear indicating if it was successfully dropped.

Can I track who has listened to my voicemail?

No. kvCORE does not indicate whether a contact has opened and listened to the voicemail message in their inbox.

What happens if a contact has an invalid phone number or does not have one at all?

If a contact does not have a phone number in their record or if the phone number is invalid the voicemail message will not be successfully dropped and no note will appear in their Timeline.

You will see an error message appear if you try to drop a voicemail to a contact with an invalid number or someone who does not have one at all.

If the contact is included in a list of contacts that you are trying to drop voicemails to en masse, they will be skipped. This will not count against your monthly credit allotment.

Why did my voicemail not successfully drop to my contact(s)?

There are a number of reasons why a voicemail may not successfully be dropped to a contact's inbox:

  1. No phone number in their profile.

  2. An invalid phone number in their profile.

  3. Auto Dial is disabled in their profile.

  4. The contact's phone number is on your "Do Not Call" list.

In order for voicemails to be dropped successfully, each contact must have Auto Dial permissions enabled otherwise kvCORE will be unable to send the message. This is found in the 'Profile Details' section at the top of a contact's record.

Within the unsuccessful note, a reason will be provided.

Can I purchase more voicemail credits if I use up my normal monthly allotment?

Yes! If you have one of the 150 or 250 subscriptions you are able to upgrade your subscription at any point throughout the month and the new amount will go into effect at the beginning of your next billing cycle.

Can I pre-record voicemail messages to regularly drop to my contacts?

Yes! There is a Voicemail section within the Smart Campaign builder tool where you can record and save voicemail messages for future use, both as manual drops and as an automated Smart Campaign action.

Using CORE Voicemail Drop in a Smart Campaign

Voicemail drop actions are added to a smart campaign just like any other action item: you must first create the template and then add the desired template(s) as actions into the smart campaign.

TIP: Just like with regular text and email actions, voicemail drops will follow the Office Hours set by the Company or Office Admin for the entity you are a part of. For instance, if the Admin for your Office has the hours set from 9am-5pm local time, texts, emails, and voicemails will not be sent prior to 9am or after 5pm.

Creating a Voicemail Template

While you have the ability to create and save a voicemail message anywhere voicemail dropping is accessible within kvCORE, like a contact's record, getting in the habit of adding them into the Templates section will allow you to easily manage the recordings moving forward.

1. Log into your kvCORE account.

2. Navigate to the Marketing tab from the main navigation.

3. Click into the Smart Campaigns tile.

4. Click into the Templates tab at the top.

5. Click into the Voicemail tab below the Templates tab.

6. Click on the green "+ Add Template" button to the right.

7. Click on 'Voicemail' from the drop-down that appears.

8. Choose whether you would like to record the message now or upload an existing audio file from your computer.

Once you are done, all the saved voicemail templates will appear in the list under the Recording Name section where you are able to preview the message or permanently delete it.

Adding a Voicemail Action to the Smart Campaign

Once the voicemail template is made it can be added to campaign(s) as desired. For more ideas on voicemail scripts, click here.

1. From the Templates tab of the Smart Campaigns section, click on 'My Campaigns'.

2. Click on the campaign's name that you wish to add the voicemail template to.

3. Click on the green "+ Add Action" button to the right.

4. Click on 'Voicemail' from the drop-down that appears.

5. Add a name for the action item in the 'Name' field.

6. Select a voicemail template from the 'Recording' drop-down.

7. Choose the Time Unit or toggle on 'Run Immediately'.

8. Choose the Time Value.

9. Click the green "Add" button in the bottom right corner.

Prewritten scripts are super helpful when trying to record voicemail templates, whether you stick to exactly what is written or just need to get your main points in order.

New Buyer Lead Script #1

Purpose: To engage with new leads immediately and introduce yourself.

Smart Campaign: Default Lender Campaign. Set this action to send on 'Day 365'.

Script: "Hello, this is [lender name] at [company name] and I work closely with [agent name] at [brokerage name]. After speaking with them, I wanted to reach out and offer my mortgage pre-approval services. I've worked with all types of credit scores and financial situations, so if you have any questions about your particular circumstances or getting pre-approved in general feel free to call or text me at [lender phone] anytime. I look forward to connecting with you!"

TIP: Working closely with your agent partner(s) will contribute to this voicemail and other touches you have scheduled to send to new leads so it is a good idea to sit down and work out an appropriate timeframe to send this voicemail. Having a weekly meeting to review lead activity is also beneficial.

Why It Works: This script quickly informs the lead of who you are, invites them to communicate with you without coming off too pushy or overbearing, and uses a positioning statement to pre-qualify you as a great fit for their needs.

New Buyer Lead Script #2

Purpose: To incentivize the lead to communicate with you as their finance expert.

Smart Campaign: Default Lender Campaign. Set this action to send on 'Day 20'.

Script: "Hello, this is [lender name] at [company name] reaching out to you again regarding your mortgage needs. I've gathered a few mortgage tips and insights on getting pre-approved that I'm sure you'll be interested in so look out for that email from me. As always, if you have any questions about mortgages or getting pre-approved feel free to call or text me at [lender phone] anytime. I look forward to speaking with you soon!"

TIP: It is a good idea to keep a short list of mortgage, pre-approval, and/or finance tips handy. You can easily create a list by performing a generic Google search or by using resources your company already offers and you can add this as an automatic email touch in the Smart Campaign too.

Why It Works: This script shows the lead the value you bring to the transaction even before sitting down with them and subconsciously obligates them to respond since you have already put forth effort on their behalf.


Buyer and Seller Scripts

New Buyer Lead #1

Purpose: To engage with new leads immediately and introduce yourself.

Smart Campaign: Default New Lead - Buyer. Set this action to 'Run Immediately' so it is sent out within the first 15 minutes of the new lead registering. It can replace the pre-existing immediate touch of 'Call and leave VM'.

Script: "Hello, this is [agent name] with [brokerage name]. I noticed you were browsing properties on my website: [website URL] and wanted to do a brief follow-up call. I would love to get your feedback about the properties you've viewed and answer any questions you have about real estate in general! Feel free to text or call me anytime at [agent number]. I've also emailed you [cool content] so keep an eye out for that email. Speak with you soon!"

TIP: You do not have to include the "I've also emailed you [cool content] so keep an eye out for that email." portion, but doing so will greatly increase their chances of communicating with you. The 'cool content' piece can be anything from a recorded buyer's seminar you were involved in or a PDF of home buying tips all the way to a link for your website blog.

The 'cool content' piece should be added as an email touch that is also set to 'Run Immediately' so it is sent at the same time as the voicemail touch and automated so you do not have to manually send it to every new lead.

Why It Works: This script quickly informs the lead of who you are and invites them to communicate with you without coming off too pushy or overbearing. The 'cool content' piece also subconsciously makes them more likely to engage with you because you have already done something of value for them and they will feel the need to respond in some way.

New Buyer Lead #2

Purpose: To remind new leads you are readily available and prompt them to respond.

Smart Campaign: Default New Lead - Buyer. Set this action to send on 'Day 10' in place of the pre-existing 'Call and leave VM' touch.

Script: "Hello again, this is [agent name] with [brokerage name]. You were recently on my website: [website URL] and I wanted to quickly touch base with you. I've been a real estate agent for over [number of years] and am proud to have helped many home buyers find the perfect place for their family; I would love to do the same for you! Was the [cool content] I sent you a few days ago of some value to you? Let me know your thoughts by calling or texting me at [agent number]. Speak with you soon!"

TIP: Remember to remove this voicemail touch from the lead's record under Future Touches if you have already spoken to them about yourself, the 'cool content' piece, or something else of value.

Why It Works: This script reminds the lead of their activity and uses a positioning statement to pre-qualify you as a great fit for their needs. It also reminds them of how you have already shown your value as a real estate agent and poses a question that they may feel obligated to answer, thus encouraging further engagement.

Unresponsive Buyer Lead

Purpose: To encourage communication from the lead after a period of inactivity and/or unresponsiveness.

Smart Campaign: Default New Lead - Buyer. Set this action to send on 'Day 35' in place of the 'Call and leave VM' touch.

Script: "Hi there, it's [agent name] with [brokerage name] again. I've been sending you listings for about a month now and I want to make sure you're still okay with getting them. If you're not seeing anything that catches your eye, I'd be happy to review your search criteria with you and adjust the properties being sent. Call or text me back at [agent number] to let me know! I look forward to speaking with you soon."

TIP: Remember to remove this voicemail touch from the lead's record under Future Touches if you have already spoken to them.

Why It Works: This script shows the lead your persistency, thus showing how you can be a great asset, and gently reminds them of the time and effort you have already given them which may prompt them to respond.

Seller Scripts

Purpose: To engage with new leads immediately and introduce yourself.

Smart Campaign: Default New Lead - Seller. Set this action to 'Run Immediately' so it is sent out within the first 15 minutes of the new lead registering. It can replace the 'Call and leave VM' touch scheduled for 'Day 1'.

Script: "Hi there, this is [agent name] with [brokerage name]. I saw you recently checked the value of your house on my website: [website URL} and wanted to follow up. Our computer-based tool is helpful to use as a start point, but it's not as accurate as personalized report. I'm going to start putting together a much more detailed report about what your house could sell for in today's market, so call or text me back at [agent number] to confirm a good time to talk further or you just reply to the email I've sent to you. Speak with you soon!"

TIP: You do not actually have to put together a CMA for these New Leads. That part of the voicemail is to entice them to respond to you, whether it is to confirm a time to talk or to opt out of a more detailed report. In either case, you can use that opportunity to continue the conversation.

Why It Works: This script quickly informs the lead of who you are and invites them to communicate while also explaining ahead of time why they may not see a home value amount that they were expecting. The statement that you are working to create a personalized report for them also subconsciously makes them feel indebted and more likely to engage with you.

New Seller Lead #2

Purpose: To remind new leads you are readily available and prompt them to respond.

Smart Campaign: Default New Lead - Seller. Set this action to send on 'Day 10' in place of the pre-existing 'Call and leave VM' touch.

Script: "Hello again, this is [agent name] with [brokerage name]. You recently checked your home's value on my website: [website URL] and I wanted to quickly touch base with you. Why It Works: This script reminds the lead of their activity and uses a positioning statement to pre-qualify you as a great fit for their needs. It also reminds them of how easily you can help them as a real estate agent and poses a question that they may feel obligated to answer, thus encouraging further engagement.

Unresponsive Seller Lead

Please Note: These scripts are directed towards past buyer clients since most sellers turn into buyers, but if you would like to create a second Smart Campaign for closed sellers feel free to do so and use the below scripts as inspiration for your seller-focused scripts.

Closed Contact - 1 Month Check-In

Purpose: To continue building on the agent/client relationship post-close.

Smart Campaign: Default Closed. Set this action to send on 'Day 30'.

Script: "Hello, It's [agent name] from [brokerage name] just doing a quick check-in to see how you're doing with the new home. I appreciated the opportunity to help you and your family find a great property so if there's anything I can continue to help with let me know! You can call or text me anytime at [agent number]; talk soon!"

Why It Works: This script confirms that you are still available as an expert in the industry and avoids the abrupt drop off that often occurs once real estate agents are done with a transaction, making it more likely that they will refer others to you in the future.

Closed Contact - 6 Month Check-In

Purpose: To encourage past clients to continue engaging with you and keep you top of mind.

Smart Campaign: Default Closed. Set this action to send on 'Day 180'.

Script: "Hello again, it's [agent name] checking in to see how you and your family have settled in at your new home! I have a short list of tips for new home buyers, so call or text me at [agent number] if you're interested in seeing those. I love to keep in touch with my past clients and am available if you need help with anything. Talk to you soon!"

TIP: It is a good idea to keep a list of buyer and seller tips handy that cover home improvement, home décor, and/or general finance information. You can easily create a list by performing a generic Google search or by using resources your brokerage already offers and you can add this as an automatic email touch in the Smart Campaign too. You might also consider adding these tips to your kvCORE website as a blog post.

Why It Works: This script not only builds on your existing rapport with the past client, but it also shows that you can provide value to them post-close. Even if they rarely respond, you are keeping yourself top of mind for a referral opportunity in the future.

Closed Contact - 9 Month Check-In

Purpose: To gently ask for a referral in line with the other touches in the Smart Campaign.

Smart Campaign: Default Closed. Set this action to send on 'Day 270'.

Script: "Hi, it's [agent name] leaving a little message. I can't believe it's almost been a year in your new home! Let me know how it's been when you have time or if I can help in any way. I'm also always available for consultations, so if you know any friends, family, or even coworkers who might be looking to buy or sell send them my way! Thanks in advance!"

TIP: Remember to remove this voicemail touch from the contact's record under Future Touches if you have recently talked to them about a referral.

Why It Works: While you know the goal of this voicemail is to encourage referrals, it keeps the main focus on them and their new home which will make them comfortable enough to refer family and friends to you instead of feeling like a referral mine and closing down.

Closed Contact - 1 Year Check-In

Purpose: Keep yourself top of mind with your past clients and strengthen the agent/client relationship you began a year ago.

Smart Campaign: Default Closed. Set this action to send on 'Day 365'.

Script: "Hello, it's [agent name] just calling to wish you a "Happy Housiversary"! Can you believe it's been a full year since you bought your house? I'll be dropping off a little surprise sometime this week as a thank you for choosing me as your real estate agent last year and feel free to call or text me if you need me for any reason at all. Here's to another great year of home owning!"

TIP: A small gift for your past clients on their first year anniversary of home-owning, especially for new home buyers, goes a long way to keeping yourself ingratiated with them moving forward. It can be as small as a simple thank you/congratulations note or gift card to a large gift basket or home décor piece. If you cannot drop it off in person, change the voicemail to say "...keep an eye on your mailbox for a little surprise..."

Why It Works: It is almost impossible to ignore congratulations and gifts on any major achievement so this is one of the best ways to keep that engagement going or encourage them to reach out to you if they have been quiet for a while.
