Set up Airbase-QuickBooks Online Integration for AMEX Customers

Follow these four steps to integrate Airbase with your QuickBooks Online general ledger.

Step 1: Log in to QuickBooks Online.

Log in to your QuickBooks Online account. Note that only users with admin access to QuickBooks Online can initiate integration with Airbase.

Step 2: Select the company you want to connect Airbase to.

If you have multiple companies set up in your QuickBooks Online account, select the company you want to connect to Airbase.

Step 3: Get Started in Airbase.

  • On the onboarding Dashboard, click Get Started on the Configure General Ledger section.

  • The new window will pop up with the list of general ledgers supported by Airbase.

  • Click the Connect button next to QuickBooks Online.

Airbase will now load the Chart of Accounts from QuickBooks Online. This will take a few minutes.

Step 4: Select accounts.

Once you've connected Airbase and QuickBooks Online, you will find the screen to select certain GL accounts:

  • Funding account: The GL account that represents the bank that you've connected with Airbase.

  • Credit Repayment Source Account: This is the bank account from your general ledger where the repayment of credit will be recorded from.

  • Prepayment account: The prepaid expense account that you would want Airbase to use for any expense amortizations you may have. We recommend creating a separate Prepaid Expense - Airbase account to make reconciliations easier at month-ends.

  • Airbase fees account. This is normally set to a bank service charge account or an expense account. This is how you want to recognize any charges that you incur as you use Airbase, excluding the subscription fee (e.g., physical card order fees).

  • AMEX Fees Account: This is the expense account used to record the fees charged by AMEX.

  • AMEX Adjustment Account: This is the expense/income account used to record other adjustments made by AMEX to your available credit balance.

  • Airbase Money Out Clearing: If you have already created an Airbase account (bank account type) in Quickbooks Online, please enter its corresponding GL account number here. If you have not yet created one, please enter the next available GL account code/number that Airbase should use when automatically creating the Airbase Money Out Clearing account in your Quickbooks Online chart of accounts.

  • AMEX Credit: If you have already created an AMEX Credit account (credit card account type) in Quickbooks Online, please enter its corresponding GL account number here. If you have not yet created one, please enter the next available GL account code/number that Airbase should use when automatically creating the Airbase Credit account in your Quickbooks Online chart of accounts.

Click Finish Configuration to complete setting up Airbase–QuickBooks Online integration.
