Overview

The Captello Scanner is a capture form element that allows you to scan various types of barcodes and NFC chips, to auto-fill capture forms. The scanner is designed to mainly be used at events, however, it also scans vCard formatted barcodes/NFC chips anywhere.

Using the Scanner

The Captello scanner allows you to easily scan QR codes or barcodes on badges to capture lead information. Most shows use registration database providers, for which a devkit is required for the Captello scanner to scan the badges. These shows require additional setup from our side to integrate with the provider’s database. To activate the scanner’s functionality at such events, submit a Developer Kit Support Request.

NOTE: To avoid rush fees, it’s recommended to submit your developer kit support requests 14 days ahead of upcoming events.

Scanning vCards

vCards are supported by Captello without additional set up from our event team. All you need to do in that case is to select vCard as a provider from the scanner properties.

Although uncommon, some events use the vCard format at their event, meaning that a connection to a registration provider database is not necessary since all the information exist inside the barcodes in the following format:

Group Scan

The Group Scan feature allows you to capture multiple leads from the same group or company in rapid succession.

The first person scanned is designated as the primary person for the group, with all data from their submission—except contact information—duplicated for others in the group, and survey responses, notes, questions, and follow-up documentation applied to everyone.

You can enable the Group Scan settings from ‘Properties’ in your form builder.

Rapid Scan

Rapid Scan opens the badge scanner or business card element within the form, enabling users to scan items one after another efficiently.

This option is displayed only if an administrator has included it in the form properties.

IntelliScan

IntelliScan offers an alternative method for lead capture at events that do not provide a Developer Kit (API) for badge scanning. It allows users to quickly scan attendee badges and capture key details such as the attendee’s name and company, automatically populating the form with this information.

Enabling IntelliScan

A separate license is required to use IntelliScan. Contact your Captello representative to activate it.

Once activated, follow these steps to enable IntelliScan:

  1. Navigate to the Capture Form Builder

  2. Click on the “Scanner” element.

  3. From the Scanner properties, Select IntelliScan from ‘Scan Mode’

  1. As an optional step, you can enable “Verify data” to review the retrieved data before submission.

Using IntelliScan

  1. On the app, select “IntelliScan” and tap the “Take Badge Photo” button.

  2. Take a picture of the attendee badge.

  3. IntelliScan will retrieve the attendee’s data, such as name, email, and work phone. This data can be reviewed before submission to ensure accuracy.

Scanner Settings on The Mobile App

The Captello Scanner has various settings on the mobile app that can change for individual devices.

Scanner Mode

The scanner has 3 modes:

  • Automatic

  • Classic

  • Advanced

Advanced mode supports all badge types, including Aztec, Code39, PDF417, while Classic mode does not support Aztec and Code39.

By default, Automatic mode is selected, which switches between Classic and Advanced mode as it fits. When your capture form's scanner type is set to Aztec, Code39, or PDF417, the scanner will automatically be switched to Advanced mode to accommodate. For other badge types, it will switch to Classic mode.

When at an event that is using Aztec, Code39, or PDF417, make sure not to switch to Classic mode, as it does not support these types of barcodes.

To change scanner mode settings, follow the steps below:

  • Launch the Captello app,

  • Tap the hamburger menu,

  • Tap on Settings,

  • Scroll down to the ‘Scan’ section, and tap ‘Scanner’.

Switching Between Front and Back Cameras

From the hamburger menu on your Captello Mobile, scroll down to Operations, and select the option to use which camera.

Capture portal

If the API credentials are not set correctly, or the connection is down, the submissions will be directed to the capture portal.

You can access the Capture Portal from the drop-down menu, as shown in the app interface.

The Capture Portal serves as a secure location for your submissions.

  • You can review your submissions in the portal.

  • Decide whether to submit or delete them as needed.

Enhanced Search Options:

For easier navigation and search within the Capture Portal:

  • Choose a specific event to filter submissions.

  • Select the type of submission:

    • Transcription

    • Barcode

    • General

    • Available

    • Ignored

  • Use the date range filter to narrow down your search results.
