Overview
This article goes over security permissions that enable the lead capture service components to users, covering all you need for a seamless lead capture and post lead capture experience.
Security permissions are added to security profiles, which are assigned to users upon creation.
Accessing Security Permissions
As an admin of a Captello account, access security profiles by navigating to Setup > Users > Security Profiles.
Default Security Profiles
You will be greeted with three (3) default security profiles.
Sales: A basic security profile with access to essential lead capture functionality.
Marketing: A more privileged profile with access to reporting and dashboards.
Admin: Has all permissions.
List of Lead Capture Permissions
The list categorizes permissions into two groups, general and specific.
General permissions affect lead capture and other parts of the system.
Specific permissions only affect lead capture.
General permissions (affecting lead capture and other parts of the system)

AI - Smart Reply - Mobile | Allows users to use Smart Reply follow-up feature. |
Automation | Allows users to create workflows that can be used along with capture forms. |
Bulk Actions | Allows users to take one-time fulfillment actions on prospects. |
Content > Trackable Content | Allows users to upload collateral to be used in capture forms. |
Delete All Prospects | Allows users to delete any prospect on the account, including leads captured using capture forms. |
Delete Own Prospect | Allows users to delete their own prospects, including prospects captured using capture forms. |
Fulfillment Actions | Allows users to access fulfillment actions setup and history. |
Import Prospects | Allows users to import prospects, which is a function used to create attendee lists |
View Prospects Not Owned by Logged in User | Allows users to view prospects owned by other users, including their submissions |
Specific permissions (affecting lead capture specifically)
All of the following permissions are found under the ‘Lead Capture’ tree.

Edit Submission Data | Allows users to edit submissions from the web app. |
Access Event Staff | Allows users to view staff on the capture form builder and change their chat status to ‘available’ or ‘not available’. |
Add Elements | Allows users to add elements (fields) in capture form builders, to already created capture forms they can access. Access to capture forms is determined by the ‘Manage’ permissions below. |
Capture Portal | Allows access to the capture portal, which shows post-show reconciliation submissions, errored submissions, or submissions manually sent to the capture portal. |
Change Event Visibility | Allows users to change event visibility, i.e. public, shared, and private. |
Create Event Form | Allows users to create capture forms Note: creating a capture form consumes one of your capture form licenses. |
Create Event Form from Template Only | Allows users to create capture form templates. |
Edit Default | Allows users to edit default values of capture form fields. |
Edit Elements | Allows users to edit elements (fields) that are already created and saved in a capture form builder. |
Edit Events | Allows users to edit the settings in the ‘Properties’ and ‘Style’ tabs inside a capture form builder. |
Event Dashboard / Mobile Analytics | Allows users to access the event dashboard, both from the web app and the mobile app. |
Export Submissions | Allows users to export submissiosn from the web app. |
Import Event Leads | Allows users to import submissions to the capture form from the web app. |
Manage permissions: are permissions that give view access. They do not give edit access. |

Manage Public/Shared Events | Allows users to view public capture forms and shared event forms that they have share access to. |
Mobile app permissions: are permissions that control access to mobile app features. |

Mobile App - Activations | Allows viewing and playing activations in the mobile app. |
Mobile App - Admin Access | Shows the ‘Admin’ section on the mobile app (from the burger menu). |
Mobile App - Send Invites | Allows users to invite users to use the app while assigning them access to an event. Note: This permission is only functional when the user has the ‘Mobile App - Admin Access’ permission. |
Mobile App - View Auth Codes | Allows users to view auth codes inside the app. Note: This permission is only functional when the user has the ‘Mobile App - Admin Access’ permission |
Mobile App - Connect on Linkedln | Allows users to use the ‘Connect on Linkedin’ feature |
Mobile App - Edit other users submissions | Allows users to edit other users’ submissions. |

Mobile App - Open other users submissions in view mode | Gives users the ability to tap on leads submitted by another user and open open the submission to view all the submitted details. |

Remove Elements | Allows users to remove elements (fields) that are already added and saved to a capture form from the capture form builder. |
Reset All Events Data | Allows users to reset event data for all events (clear submissions and prospects) before the start date of the event. Note: taking the reset action does not delete prospects from the system, but just removes their submissions on the form. |
Reset Own Events Data | Allows users to reset event data for events owned by the user (clear submissions and prospects) before the start date of the event. Note: taking the reset action does not delete prospects from the system, but just removes their submissions on the form. |
View Auth Codes | Allows users to view auth codes from the invited users list. |
