9.2 Create a template

Learn how to create a template in Lean PlanDo Reports

In Lean PlanDo Reports, a template is first created, and used as a base structure to generate a weekly or monthly report. Therefore, for any particular report that you want to create, a Template has to be created first.

Creating a report template in Lean PlanDo is simple and easy. The template is highly customizable to suit the report structure that you and your organization desires.

To create a template, go to Lean PlanDo Reports from the side menu.

There are two main tabs here; Reports and Templates. Click 'Create template' under the Templates tab.

Key in the name of the template, and click 'Create'.

By default, a template will have a cover page where you will be able to enter:

  • Client Company name and logo

  • Contractor Company name and logo

  • Description of the project

  • An image to be used on the cover page of the report

Note: Report Name, Report No., Report Period and Created by [...] information will be filled in automatically when this template is used to generate a report.

Fill in the details and insert photos to get started with your template.

On the left panel, there are four widget tabs to customize and structure your report.

Sections

This is where you can segregate your report into different portions, called sections. Each section can have a dedicated title and description. To add a new section, click the 'Add section' button under the Sections tab.

To change the name of the section, simply click on the name, and edit it.

Say you have multiple sections, and you want to rearrange them. You can do so in the sections menu. Click on the menu button of each section. There are three options, to move the section up, to move it down or to delete it. You can also drag a section to a desired place via the left button (6 dots icon).

Text

Under the Text tab, you can add a heading, sub heading or a normal text box to any of the sections you have created. To add a text widget, click on either of the options, hover over the section that you want to add, and click on the 'Click here to add the widget' at the desired location.

To change the text inside the heading, sub heading or normal text box, simply click on the box and type in.

Image

There are three alternatives for you to insert images in your report. You can insert just one image, or image with a text box beside, left or right. Similarly to Text, click on the desired widget and insert in the report to add the widget.

After adding an Image widget, you can type in normal text beside the picture. For the image itself, you can add in an image from your device when you use this template to create a report.

Insights

In the Insights tab, you will be able to insert widgets from the Lean PlanDo Insights directly into the report. Widgets such as Project Status, Project Delays and Advances, Critical Milestones Delays and Advances, and many more are available for you to choose from, and make the report complete with such data.

To insert a widget from Insights, simply click on the desired widget, hover over the section that you want to add, and click on the 'Click here to add the widget' at the desired location.

Rearranging the widgets

Within one section, widgets can be rearranged at any point of time. This applies to all text, image, and insights widgets. To move a widget up or down, hover over a widget. On the top left corner, there will be two buttons showing up and down. Simply click the up arrow to move the widget up, and down arrow to move it down.

Note that a widget can only move up and down within its section. It cannot be moved to another section.

Deleting the widgets

To delete any widget from any section, hover over the widget. There will be a Delete button (Trash can icon) on the top right corner of the widget. Click on that button to delete the widget.

Sharing the template

To share the current template with your colleagues in the same company, simply click on the Share button at the bottom right corner. A message that says 'Template shared successfully' will be shown.

Saving the template

After you have structured your desired report template, click on the Save button at the bottom right corner to save it. This template will be available in your Templates library for use.
