Plexus can review your contract and suggest redlines for you, right inside Microsoft Word. It reads your document, weighs it against your knowledge base precedents, and proposes changes – but nothing lands in your document until you say so.
Review and Redline works in the Microsoft Word Online editor, so you'll need an existing Microsoft 365 Business Licence. See editing a document in Plexus for how to open a contract in Word Online.
Pre-requisites
In order to use the Plexus Review and Redline in Microsoft Word, you'll need to have the following:
Microsoft Word enabled on your Plexus organisation; or Microsoft Word for Desktop with Plexus for Word installed.
AI Features turned on.
Top tip! To make the most out of redlining suggestions, keep your company's Knowledge up to date. Plexus Review & Redline bases its suggestions on your best-practice material and rules – so the richer your Knowledge, the sharper the redlines.
Installing Plexus Review & Redline
When using Review & Redline for the first time, you'll set it up once, then it's ready on every document.
Step 1. Open your contract from the Document details page, quickly Redline a document from the main menu.
Step 2. Click edit in the Edit in Microsoft Word. Review & Redline will open by default.
Step 3. Click Allow and continue.
From then on, the Plexus tab then appears in your Microsoft Word header, with the options to Open Plexus, or Review and redline.
Redlining your document
Review and redline is a chat interface, just like Plexus Counsel. It has access to the document on screen, and can read and take action on the document, based on your interactions in the chat. To get started:
Step 1. Then type your query, or click one of the quick options to Review & redline your document.
Step 2. Answer a few questions to focus the efforts of the redlining tool.
Step 3. Plexus reads your full contract and any relevant precedents from your knowledge base, then works through the document. You'll see its progress in the panel as it goes.
Step 4. When it's done, every proposed change shows as pending suggestions for you to review and accept.
Accepting and rejecting suggestions
Open the pending suggestions to work through the suggested changes. Each suggestion is a card showing the current wording in red ("Current") (the current wording, in red) and the proposed wording, in green ("Proposed"), often listed with a "Reason" for the suggestion.
Click a card to expand it and see the full change. Then click the buttons to:
Accept a suggestion to apply it to your document as a tracked change.
Reject a suggestion to discard it.
Refine to modify the suggested replacement text.
To move faster, select several cards and accept or reject them together.
Accepted changes apply as tracked changes, so you and your colleagues can still see and consolidate them — exactly as you would for any other edit.
Question: Are pending suggestions visible to anyone else?
Any request within the chat, and any resulting pending suggestions are visible only to you, until those changes are accepted and redlined onto the document.
Once your redlines are added as a tracked change on your file, you will be able to share those tracked changes with anyone who needs to see them, by downloading your file, or sharing a link to the document.
Refining a suggestion
If a suggestion is close but not quite right, you can refine it rather than rejecting it.
Step 1. On the suggestion, type a short instruction in the Refine box — for example, "Two months only."
Step 2. Send your refinement, and Plexus updates the suggestion. You will see the revised wording along with a short Rationale explaining the change.
Step 3. From there you can accept, reject, or refine that suggestion again.
Top tip! You don't have to run a full review every time — you can also:
Ask Plexus a question, and it will answer based on your document.
Highlight sections of the document as a redline
Add comments to the document.
