[New] How to manage your user groups

This article explains how to create, edit, and manage user groups in LegalOn.


What are user groups?

User groups allow you to organize users into groups for easier permission management. By assigning access rights to a user group, you can share access to spaces with multiple users at one.


Creating a user group 

  1. Go to [Admin settings] → [User groups], and click [+ Create user group].

  2. Enter the User group name (required) and Description (optional), then click [Create].


  3. Click [+ Add user] to add users to the group.

  4. Search by user name or email, select the user, and click [Add].

Changes will be reflected in the User groups List.

⚠️ Notes

  • Maximum: 200 user groups

  • Group name: Up to100 characters

  • Duplicate group names cannot be used

Editing a user group

  1. Go to [Admin settings] → [User groups], hover over the group, click [...] → [Edit group].

  2. Edit the Name or Description, then click [Save].

Deleting a user group

  1. Go to [Admin settings] → [User groups], hover over the group, click [...] → [Delete group].

  2. Confirm the message and click [Delete].

⚠️ Notes

Deleted groups cannot be restored.

Managing user groups in bulk

  1. Go to [Admin settings] → [User groups] → [...] → [Bulk manage groups].

  2. Click [Export] to download a CSV template.


  3. After the export is complete, open the automatic email you receive and click the link in the message.

⚠️ Notes

If no user groups exist, the button will show "Download" instead of "Export", and the file will be downloaded directly without notification to the IT administrator.

4. Edit the CSV file with the required details (see format guide below), then save it.

User group names can be edited.

5. Upload the edited file via Go to [Admin settings] → [User groups] → [...] →[Bulk manage groups] → [Import].

If the CSV import fails, "Failed" appears in the [Last execution] column. See the [Details] for the reason. Wait a moment after starting the import, then click [Reload].

⚠️ Notes

  • Bulk deletion of user groups is not supported. To delete a user group, follow the steps in [Deleting User groups] and remove them one by one.

  • The maximum number of user groups is 200.

  • User group name is up to 100 characters.

  • Duplicate user group names cannot be used.

Adding users to a user group

  1. Go to [Admin settings] → [User groups], hover over the group, and click [Manage users].

  2. Click [+ Add user].

  3. Enter the user name or email address in the search box, select the user, and click [Add].

The updated number of users will be displayed in the User groups list.

⚠️ Notes

When searching by name in English, capitalization matters (case-sensitive).

Removing users from a user group

  1. Go to [Admin settings] → [User groups], hover over the group, and click [Manage users].

  2. Enter the user name or email address in the search box, click the [✕] next to the user, then click [Save].


Changes will be reflected in the User groups list.

⚠️ Notes

When searching by name in English, capitalization matters (case-sensitive).

Managing Users in a user group in bulk

  1. Go to [Admin settings] → [User groups] → [...] → [Bulk manage users].

  2. Select the user group, then click [Export] to download a CSV template.

    • Use the text input to filter user groups.


  3. After export, open the automatic email and click the link to download the file.

4. Open the CSV file and fill in the required fields:

(*) Cannot add/remove:

  • Email addresses not registered in LegalOn

  • Email addresses of deactivated users

◼︎For Removing users

  • Delete the values in columns A-D of the row for the user you want to remove.

5. Go to [User groups] → [...] → [Bulk manage users], upload the edited file, and click [Import].

6. If the import fails, “Failed” will appear under [Last execution]. Check [Details] for the reason.

7. Wait a moment after starting the import, then click [Reload] to apply the changes.

Changes will be reflected in the User groups list.
