[New] How to manage your departments

What is a Department? 

A Department is one of the data fields used in Matter Management. By setting up departments, you can register them as [Requesting department] in the [Matter information] of Matter Management.

Create a department

  1. Open [Admin settings].

  2. Click [Departments], and then click [Create department].

  3. Enter the Department name and click [Create].

  4. The new department will appear in the Department list.

Create departments in bulk

  1. Open [Admin settings][Departments][…] → [Create departments in bulk].

  2. Click [Download template].

  3. Enter the Department name in the downloaded CSV file.

    • Leave Department ID blank when importing for the first time.

  4. Save the file as CSV UTF-8 (Comma separated).

  5. Upload the file by clicking [Select File] or dragging the file.

  6. Click [Import], then [Reload] once the process is complete.

  7. The imported departments will be displayed in the Department list.

⚠️ Notes

  • Maximum number of departments: 200

  • Maximum department name length: 100 characters

  • Duplicate department names are allowed.

  • If your cannot save as CSV UTF-8, use Notepad for Windows .

Change a department name

  1. Open [Admin settings][Departments], then hover over a department you want to edit.

  2. Click […] → [Edit].

  3. Edit the Department name and click [Save].

Change department names in bulk

  1. Open [Admin settings][Departments][…] → [Create departments in bulk].

  2. Click [Download template].

  3. Copy [Department name] and [Department ID] from the Department List.

  4. Paste them into the downloaded CSV file.

  5. Edit [Department name] as needed. Keep Department IDs unchanged.

  6. Save the file as CSV UTF-8 (Comma separated).

  7. Upload the file by clicking [Select File] or dragging the file.

  8. Click [Import], then [Reload] once the process is complete.

  9. The updated departments will be displayed in the Department list.

⚠️ Notes

  • Department IDs cannot be changed.

  • Maximum department name length: 100 characters

  • Duplicate department names are allowed.

  • If your cannot save as CSV UTF-8, use Windows Notepad.

Delete a department

  1. Open [Admin settings].

  2. Click [Departments] […], and then click [Delete department].

Delete selected multiple departments

  1. Open [Admin settings], and click [Departments].

  2. Hover over a department to display the checkbox, select the departments to delete, and click [Delete All].

  3. Click [Delete] to confirm.

The deleted departments will be reflected in the Department list.

Delete departments in bulk

  1. Go to [Admin settings] → [Departments] → […] → [Create departments in bulk].

  2. Click [Download template].

  3. Copy [Department name] and [Department ID] from the Department List.

  4. Paste them into the downloaded CSV file.

  5. Delete only the [Department name] for departments you want to remove. Keep Department IDs unchanged.

  6. Save the file as CSV UTF-8 (Comma separated).

  7. Upload the file by clicking [Select File] or dragging the file into the window.

  8. Click [Import], then [Reload] once the import is complete.

  9. The deleted departments will appear in the Department list.

⚠️ Notes

  • Deleted departments cannot be restored. If needed, create a new department.

  • If your cannot save as CSV UTF-8, use Windows Notepad.

Search for a department

Enter the department name in the search bar and press [Enter] to search.

Save CSV in UTF-8 (comma separated) format

Excel 2016 and later support saving files in CSV UTF-8 format. If you are using Excel 2013 or earlier, please use Windows Notepad to convert the file.

  1. Right-click the downloaded CSV file, select [Open with] → [Notepad].

  2. In Notepad, click [File] → [Save As].

  3. Edit the file name if needed, set Save as type to [Text Document (*.txt)], and set Encoding to [UTF-8].

  4. Click [Save].
