[New] How to edit contracts directly using the Editor in LegalOn

(*1) Only one bullet type can be newly set in LegalOn.
(*2) Only one numbering style can be newly set in LegalOn. Word styles remain as is.
(*3) Displayed in LegalOn’s default font; your Word font is retained in the downloaded file.
(*4) You can edit text within tables.


File Requirements

  • File format: Word (.docx)

  • Maximum file size: ~10 MB


1. Open the file in the Editor

  1. Go to [Contracts] list.

  2. Click on the contract you want to edit.

  3. In the file detail screen, click [Review].

    • For PDFs, click [Convert to Word] to enable editing.

You can edit the contract on the left side of the file review screen.

2. Edit the contract

In the editor, you can:

  • a: Edit the contract text directly in the left pane.

  • b: Set or update your Editor name, which appears in track changes/comments.

  • c: Accept or undo tracked changes.

  • d: Check risk check, compliance check, or Playbook check results.

  • e: Add, reply to, or view comments.

  • f: Delete comments in bulk

a: Edit contract text

Use the toolbar to edit clauses directly. Use the indent tool to adjust misaligned lines if needed.

b: Set editor name

The Editor name you select will appear as the author in tracked changes or Word comments. You can create up to 5 names, which are saved per user.

c: Accept or undo changes

  • Accept: Select a tracked change and click [Accept] to confirm it.

  • Undo: Select a change and click [Undo] to revert it.

d: View review results

You can view Contract Review results, Playbook Alerts on the right menu as you edit.
If available, you can also use AI Revise to automatically apply suggested changes.

* AI revise is not available when performing review using First-Party Playbook

e: Add or manage comments

Word comments:
You can view comments in two locations: within the contract's main body and in the comment list display area.

To add a new comment, select the desired text in the contract and then choose the speech bubble icon that appears when you right-click.

Additionally, Word comments will be reflected as comments in the downloaded Word file.

Internal comments:
Use [Internal Only] comments for internal notes. They remain in LegalOn and do not export to Word.

Tip: You can mention colleagues using @. Mentions trigger notifications.

f: Delete comments in bulk

When you click the [Delete all comments] button, you can bulk delete all Word comments at once.

Note: Internal-only comments cannot be bulk deleted.

💡 Info

  • In Internal Only comments, you can add a mention by typing @.
    The mentioned user will receive a notification by email or through the notification icon.

    Only users who have an account in LegalOn can be mentioned.

  • Use the three-dot menu on each comment to resolve, edit, or delete individual comments.

⚠️ Notes

  • You cannot bulk mark comments as Resolved.

  • Once Word comments are bulk deleted, they will not appear in the Resolved filter.

3. Save and download

Click [Save] to upload your changes as the latest version.
You can download the updated file via [Download] as needed.


FAQs

Q: My Word file looks broken after download.
A: We do pre-checks to prevent layout issues. If problems occur, please contact our Support team.

Q: Can I edit PDF contracts?
A: Convert them to Word in LegalOn first.

Q: Can I edit multi-column layouts?
A: Yes, you can edit them. While the document will display as a single column on screen, you can still make edits. Please be aware that depending on the specific column and layout settings, the formatting might break when you save and reopen the document in Word.

Q: Can multiple people edit together?
A: Simultaneous co-editing is not supported. Each edit is saved as a new version. These versions will appear in the version history in the order they were saved.
