[New] How to restrict email domains for the Matter intake email address - OLD

Updated yesterday

This article explains the features of the new LegalOn. For information on the current version’s product features, please refer to this page.

What is domain restriction?

Domain restriction allows you to block emails sent from addresses that do not match your company’s approved domains. This is highly recommended to prevent malicious emails from outside your organization.

  • You can add, edit, or delete domains anytime.

  • You can register up to 100 domains.

  • The restriction applies only to the From address of the initial email that creates a new matter. Cc or Bcc fields are not restricted.

How domain restriction works

When enabled, only emails sent from registered domains will be accepted to create new matters. Emails from unregistered domains will be rejected. This restriction does not apply to messages within an already created matter.

1. Determine which domains to register

Work with your system administrator to decide which email domains to approve.

Examples:

  • No subdomain:
    Email: taro.legal@legalontech.com → Domain: legalontech.com

  • With subdomain:
    Email: taro.legal@xxxx.legalontech.com → Domain: xxxx.legalontech.com

  • Using wildcards:
If you have multiple subdomains, you can use * as a wildcard.
    Example: *.legalontech.com

2. Add a domain

  1. Go to [Admin settings] → [Matter Management] → [Domain restrictions].

  2. Click [+ Add Domain].

  3. Enter the Domain name (required) and an optional Memo, then click [Add].

⚠️ Notes

  • Only the From address of a new intake email is checked.

  • Cc, Bcc, or addresses added in existing matters are not blocked.

💡 Info

  • Domain: 4–253 characters

  • Memo: Up to 400 characters

3. Edit a domain

  1. Click […] → Edit next to the domain you want to update.

  2. Make your changes and click [Save].

4. Delete a domain

  1. Click […] → Delete next to the domain you want to remove.

  2. Confirm and click [Delete].

The domain will be removed from the list.
