[New] How to invite users - OLD

You can invite users to LegalOn either individually or in bulk using a CSV file.


Invite a user individually

  1. Go to [Admin settings] → [Users].

  2. Click [+Invite user].


  3. Enter the User name and Email address.

  4. Select the User type and, if needed, grant Admin permissions, then click [Invite].

⚠️ Notes

  • The user limit is 10,000.

  • Maximum user name length: 48 characters.

  • User names can be duplicated, but email addresses must be unique.

  • Invitation emails expire after 7 days.

  • If your tenant reaches its user limit, [+Invite user] will be grayed out. You can check your limit under the [Licenses] page.

Invite multiple users at once

  1. Go to [Admin settings] → [Users].

  2. Click the [∨] icon and select [Bulk user invite].

  3. Click [Download the template].

  4. Open the downloaded CSV file and fill in the required details.

    • For columns C–V: enter on to enable a license or permission, or leave blank to skip it.

    • Only modules you have contracted will appear.

5. Save the CSV file in CSV UTF-8 (Comma-delimited) format.

Tip: If your system does not support this, use Windows Notepad.

6. Click the [∨] icon again and select [Bulk user invite].

7. Upload your saved CSV file.

8. Click [Import].

  • If the import fails, you will see [Failed] in the [Last execution] section. Click [Details] to check for errors.


9. Wait for the import to complete, then click [Reload].


Successfully imported users will appear in the [Pending invitations] list.

Cancel a user invitation

  1. Go to [Admin settings] → [Users] and select [Invited].

  2. Hover over the user, click [...], and select [Cancel invitation].

  3. Confirm the message and click [Cancel].

Resend a user invitation

  1. Go to [Admin settings] → [Users] and select [Invited].

  2. Hover over the user, click [...], and select [Reinvite].
