How to Update User Information (for IT Administrator)

This article explains how IT administrators can update user information in LegalOn. You can update user types and admin permissions individually or in bulk.

Update User type/Admin permissions individually

You can edit each user’s type and admin permissions one by one from the LegalOn admin settings.

  1. Go to [Admin settings] → [Users].

  2. Use [Search] to find the user by name or role.

  3. Hover over the user you want to edit, click (...), then select [Edit].

  4. Update the user type, admin permissions, or API access as needed, then click [Save]. For details on the Allow issuing API credentials permission, see How to Manage API Settings - For IT Admins.

⚠️ Notes

  • You cannot edit the username or email address here. The user can change their own username via their [User settings].

  • You cannot assign more licenses than you have purchased. You can check your license limits in Admin settingsSubscription.

Update User type/Admin permissions in bulk

To change multiple users at once, download the CSV template, edit it, and upload the file.

Steps

  1. Export the user list as a CSV file. See: How to manage user lists for instructions.

  2. Open the CSV file and edit columns (do not change usernames or email addresses).

    • For columns like IT Administrator, module licenses (Pro/Admin), and API Credential Issuer, enter "on" to grant the permission or leave blank to remove it.

    • Only assign roles for modules you have contracted.

Troubleshooting

Error appears when uploading an edited CSV file

  • Failure: "Import failed. There is an issue with the input. Please check the details below."

This issue may occur if the CSV file includes users with an Inactive status. Users marked as Inactive in Column C are excluded from bulk updates.

Try performing the bulk update again using one of the following methods:

Option 1: Delete inactive rows after exporting the user list

Open the CSV file again, delete all rows that show Inactive in Column C, and upload the file again.

Option 2: Filter by status before exporting the user list

See [View User List - Export User List] and filter the user status to Active or Invited before exporting.
