[New] How to update user information (for IT Administrator)

This article explains how IT administrators can update user information in LegalOn. You can update user types and admin permissions individually or in bulk.


Update User type/Admin permissions individually

You can edit each user’s type and admin permissions one by one from the LegalOn admin settings.

  1. Go to [Admin settings] → [Users].

  2. Use [Search] to find the user by name or role.

  3. Hover over the user you want to edit, click [・・・], then select [Edit].

  4. Update the user type and admin permissions as needed, then click [Save].

⚠️ Notes

  • You cannot edit the username or email address here. The user can change their own username via their [User settings].

  • You cannot assign more licenses than you have purchased. You can check your license limits in the [License] page.

Update User type/Admin permissions in bulk

To change multiple users at once, download the CSV template, edit it, and upload the file.

Steps

  1. Export the user list as a CSV file.
    (See: How to manage user lists for instructions.)

  2. Open the CSV file and edit columns (do not change usernames or email addresses).

    • For columns for IT Administrator, Module Administrator, Matter Management and Review, enter "on" to grant the permission or leave blank to remove it.

    • Only assign roles for modules you have contracted.

3. Save the edited file in CSV UTF-8 (comma-delimited) format.

4. In LegalOn, click the [V] icon and select [Bulk Update Users].

5. Upload your edited CSV file.

6. Click [Import].

7. Wait a few moments, then click [Reload] to see the updated user information.

⚠️ Notes

  1. You cannot edit usernames or email addresses in the CSV.
    Users can edit their own usernames via [User settings].

  2. If you cannot convert to CSV UTF-8, use Windows Notepad to save the file.

  3. Exporting the user list will include all statuses (active/invite pending/inactive).

  4. You cannot assign more licenses than your purchased limit. Check limits under [License].

Troubleshooting

Error: "Import failed due to input errors."
Details: "Admin permissions or user role must be set."

Possible cause:
Your CSV includes users marked as inactive. These users cannot be updated via bulk import.

How to fix:

  • Delete any rows where column I shows inactive, then try again.

  • Alternatively, filter for “active” or “invite pending” users before exporting.
