[New] How to set up Multi-Factor Authentication - OLD2

What Is Multi-Factor Authentication?

Multi-Factor Authentication (MFA) adds an extra layer of identity verification by requiring a one-time password (OTP) generated by an authenticator app in addition to your usual email and password.

While a standard login only uses “something you know” (email and password), enabling MFA also requires “something you have” (a one-time password on your mobile device).

Combining multiple factors helps reduce the risk of unauthorized access.

Enable Multi-Factor Authentication

  1. Go to [Admin settings] → [Multi-Factor Authentication].

  2. Toggle [Enable Multi-Factor Authentication] to ON.

You will see a message confirming “Multi-Factor Authentication has been enabled.” MFA will now apply to all users in your tenant.

Note:
This setting takes effect immediately. Please inform your users in advance as needed.

Disable Multi-Factor Authentication

  1. Go to [Admin settings] → [Multi-Factor Authentication].

  2. Toggle [Enable Multi-Factor Authentication] to OFF.

You will see a message confirming “Multi-Factor Authentication has been disabled.” MFA will no longer apply to any users in your tenant.

Reset a User’s MFA

If a user loses access to their registered device and cannot log in, an IT Administrator can reset their MFA registration.

  1. Go to [Admin settings] → [Users].

  2. Hover over the user you want to reset, click [...], and select [Reset Multi-Factor Authentication].

  3. Confirm the message and click [Reset].

A message will appear confirming “Multi-Factor Authentication has been reset.”


The user will also receive an email titled “LegalOn One-Time Password Setup Has Been Reset”, instructing them to set up MFA again. They should follow the steps in How to log in when Multi-Factor Authentication (MFA) is enabled.

Troubleshooting

If no IT Administrator is available to reset MFA:
Contact the LegalOn Support Team and include the affected user’s email address. The team will assist with the reset.
