How to Link Related Files

This article explains how to link related contracts and documents to a contract in LegalOn.


What Are Related Files?

“Related files” include:

  • Related Contracts (e.g., memorandums, individual agreements)

  • Related Documents (e.g., proposals, quotations)

Linking related files allows you to easily view contract details and supporting information.

  • Use the [Contracts] tab to link related contracts.

  • Use the [Non-contracts] tab to link related documents.

Note: If a contract has multiple versions, related files are linked to each version individually.


Requirements

  • User Type: Available to all user types (including unassigned users)

  • Access Rights: You must have at least one of the following for both source and target files:

    • Administrator

    • Editor

    • Contributor (limited to Non-Contracts tab and files they created)

Supported file formats for [Non-contracts] tab:

  • PDF (.pdf)

  • Word (.docx, .doc)

  • Excel (.xlsx, .xls)

  • PowerPoint (.pptx, .ppt)

  • CSV (.csv)

  • Image (.jpeg, .jpg, .png, .gif)

  • Email (.eml, .msg)


Linking a Related Contract

  1. Open the file details page from [Contracts].

  2. Select the [Related files] tab on the right.

  3. Go to the [Contracts] tab, search by keyword or check suggested contracts.

  4. Click [+ Add as related contract] for the contract you want to link.

A confirmation message appears, and the file is linked under Contracts.

Linking a Related Document

Upload and Link a New File

  1. Open the file details page from [Contracts].

  2. From the file details page, open [Related files] → [Non-contracts] → [+ Upload].

  3. Upload the file and choose a storage location.

  4. Click [Upload], then confirm by clicking [Execute].

  5. The file will appear under Non-contracts as a related file.

Uploaded files are automatically categorized as “Other Files.”

Search and Link an Existing File

  1. From the file details page, open [Related files] → [Non-contracts] → [Search].

  2. Search by file name, content, creator, or creation date.

  3. Click [+ Add as related file] for the file you want to link.

A confirmation message appears, and the file is linked under Non-contracts.

Unlink a Related File

  1. From the related file list, click [...] → [Remove from related files].

  2. Confirm by clicking [Remove].

A confirmation message appears, and the file is unlinked.

⚠️ Notes

  • Up to 300 related files can be linked per tab ([Contracts] / [Non-Contracts]).

  • When a contract is duplicated, related file links are not carried over.

  • If contract versions are merged, related files from both the source and target versions are retained.

  • Certificates of Completion imported via electronic contract service integration are automatically linked as related files under [other than contract].
