[New] Adding an intake mail address for any domain

This article can be shared with system administrators who do not have a LegalOn account. Please use this information when requesting in-house setup.

Getting Started

In addition to the intake mail address automatically issued by Matter Management, you can add any email address you wish.

By using an address that you are familiar with within your company, you can increase the reliability of the recipient and the sender, and you can manage the system in accordance with your company's system and email policies.

*This function requires additional measures, such as DNS settings, that are different from those required for the normal function. Please understand this beforehand.

Configuration Flow

The module administrator of LegalOn (hereinafter referred to as "Module Administrator") and your system administration department (hereinafter referred to as "System Department") will work together to perform this setup.

Since tasks such as DNS settings are divided by department, we recommend that you confirm the work flow with the system department in advance before implementing the settings.

Points to note

  • To use an arbitrary e-mail address, you need to configure DNS settings for your own domain dedicated to intake.

  • Please ask the person in charge (system administration department) who can handle the DNS settings within your company.

  • DNS authentication must be completed after temporary registration of the e-mail address.

Customizing and adding an intake mail address

1.[System Administration Department] Prepare a dedicated domain for the intake mail address.

Please prepare a dedicated domain for intake, with DNS settings available.

If you wish to use a domain similar to your existing company domain, please set up a subdomain.

Example:

If your company domain is " legalon.com " → no-reply@[subdomain].legalon.com

Notes

This setting ties the domain to the LegalOn mail server.

If you set up a domain that is used for normal business, etc., it may interfere with the sending and receiving of e-mails, so please prepare a domain specifically for intake.


Supplementation

The formats of e-mail addresses that can be registered are as follows

  • Local part

    • Number of characters: 1 to 64

    • Acceptable characters: alphanumeric and -, _, +, .

  • Domain

    • Number of characters: 4 to 200

    • Number of labels: 2 or more required (e.g. example.com)

    • Label Format

      • Acceptable characters: alphanumeric

      • Characters: 1 to 63


2. [Module administrator] Tentatively register a e-mail address

  1. Click [+Add e-mail address].

  2. Enter the e-mail address decided in "1. [System administrator] Make preliminary preparations" in "Step 2: Temporarily register e-mail address", and click [Temporary registration].

  3. In [Step 3: Configure DNS settings], click [Copy] and share the copied DNS records with the system administration department.

Clicking [Close] after copying the DNS records will not redo the settings. This screen can be redisplayed later.

Points to note

After temporary registration, be sure to perform "3.

If you perform this registration without doing so, the registration process will fail and an error will occur.


3.[System administration section] Configure DNS settings

  1. Register the DNS records shared by the module administrator to the DNS server.

    CNAME resource record for mail authentication and MX resource record for mail reception must be set.

  2. After the registration is completed, share the completion with the module administrator.

4.[Module administrator] Register the intake mail address in the main registration

  1. After sharing the completion of DNS setting, open the [Case Reception E-mail Address] setting screen again.

  2. Click [Resume Registration] on the right side of the email address.

  3. Click "Register" in [Step 4: Register E-mail Address].

  4. Confirm that the status has changed from [Registration in process] to [Available] on the Receiving [Email Addresses] setting screen.

Points to note

It may take several minutes to several hours to complete the registration process. The status will remain [Processing] until the registration is completed.
