This article explains how to edit contracts using Microsoft Word for the web.

What is Microsoft Word for the web?

Microsoft Word for the web is a Microsoft service that lets you open and edit Word documents directly in your browser, without installing Word on your computer. Like the desktop version of Word, you can use features such as track changes, comments, table editing, and style settings.

In LegalOn, you can launch Microsoft Word for the web directly from the file details screen to edit contracts. Using Microsoft Word for the web enables auto-saving of edits and co-editing by multiple people.

When you open Microsoft Word for the web in LegalOn, the LegalOn add-in launches simultaneously. From the add-in, you can execute reviews and create versions.

About auto-save (temporary save data)

What is "temporary save data"?

In Microsoft Word for the web, your edits are automatically saved as "Temporary Save Data" (Drafts).

  • Temporary save data is used exclusively for editing within Microsoft Word for the web and does not appear on the LegalOn file details screen or version list.

  • If you resume editing after auto-saving, you can continue working from where you left off using this temporary save data.

How temporary save data works

  • Temporary save data can only be generated and retained for one version of a contract at a time.

  • Temporary save data always keeps only the latest edits. You cannot revert to a previous state or switch between multiple temporary save data files.

🚨 Warning You can generate temporary save data for versions other than the latest one, but doing so will delete any existing temporary save data.

When you manually save or execute a review, a new version is created that incorporates the latest temporary save data. At this point, the temporary save data becomes linked to the new version.

Conversely, if you upload a new contract to create a new version, the temporary save data will not be linked to it and will remain associated with the previous version.

About version updates

Temporary save data is merely "temporary data during editing"β€”the file version on LegalOn is not automatically updated.

A new version is created only by the following actions:

  1. Clicking [Save] in Microsoft Word for the web.

  2. Clicking [Check] in Microsoft Word for the web and executing a review.

Until a new version is created, the content on LegalOn remains unchanged, and only the temporary save data is retained.

  • (*1) .doc files can be used by converting them to .docx format in LegalOn. "Strict Open XML Document (.docx)" format is not supported.

  • (*2) Automatically converted to Word file (.docx) in LegalOn upon use.


How to use

Step 1: Open Microsoft Word for the web

  1. Open the file details screen.

  2. Click [Review] (Word icon) or [v] β†’ [Open in Microsoft Word for the web] at the top right of the screen.

  3. An "Add-in Loading Notice" may appear. Review the message and click [Close].

πŸ“ Note If you do not have a license for the Review module, [Review] will be displayed as [Edit].

πŸ”§ Troubleshooting If Microsoft Word for the web does not open, pop-ups may be blocked. Click the icon in the upper right corner of the browser β†’ Select [Always allow pop-ups and redirects from...] β†’ Click [Done].

Step 2: Add the add-in (first time only)

This step is required only for first-time use. For subsequent sessions, proceed to Step 3.

  1. Click [Allow and Continue] to add the add-in.

  2. If an error appears saying "Sorry, something went wrong. Could you please try that again?", click [OK] and reload the page.

Step 3: Edit the contract while reviewig results

You can edit the contract while viewing the results of the Contract Risk Check, Compliance Check, and Proofreading.

Step 4: Save and create a new version

To upload the edited contract as a new version, click [Save] at the top right of the add-in panel.

Once the upload is complete, you will be redirected to the file details screen. If you do not wish to create a version yet, simply close the window. Your changes are auto-saved as temporary save data, so you can continue editing later.


FAQ

Q. Where can I check the contents of the auto-saved temporary save data?

A. Temporary save data can only be viewed in Microsoft Word for the web. It cannot be viewed on LegalOn's preview screen.


Q. Is a version created if I close the screen while editing?

A. No. Only the temporary save data is retained. A version is created only when you manually execute [Save] or run a review.


Q. What happens if I open another version while temporary save data exists?

A. A dialog titled "Editing progress found" will appear, allowing you to choose which version to open. If you select a different version and click [Open], your unsaved editing progress will be removed. To keep your work, click [Cancel], save your current work, and then open the other version.


Q. Can I co-edit?

A. Yes. If another user is currently editing temporary save data, a dialog titled "Someone is currently editing" will appear. Click [Continue to draft] to join that session and edit together.


Q. What happens if I edit the same version using both the Standard Editor and Microsoft Word for the web?

A. The edits will not conflict. The Standard Editor and Microsoft Word for the web operate on separate mechanisms. The content saved by each user is registered as a new version in the order the save operation is completed.
