Important Notes When Using

  • This feature performs contract risk checks based on playbooks (review criteria) created per tenant. It uniformly determines outcomes as "No Alert = No Legal Action Required" or "Alert Present = Legal Action Required" based on the results. The determination depends entirely on the content of the configured playbook.

  • To use this feature appropriately, playbooks must be correctly created and maintained beforehand. If playbook content is insufficient, expected determination results may not be obtained. Please thoroughly verify playbook content before use.

For information on creating playbooks and important considerations, refer to "Overview of the Playbook feature ".

  • This feature uses playbooks. Company template playbooks cannot be used.

  • It does not support table information within contracts.

  • If the AI determination fails, an email notification will be sent to Matter Management: Pro users. In this case, either guide the requester to resubmit via the form or have the legal department handle the received case.

Using AI Automatic Contract Checks for Form Requests

1. Create a playbook

Before use, create a playbook and thoroughly review its contents.

Refer to "Overview of the Playbook feature" for playbook creation methods.

Important Notes

To use this feature properly, you must correctly create and maintain your playbook beforehand. If the playbook content is insufficient, you may not obtain the expected judgment results.


2. Set up the judgment result email template

You can set the body text of the judgment result email automatically sent by the AI to the requester as a template.

② Under [Contract AI Automatic Check for Form Requests], modify the following items as needed in the [Judgment Result Email Template]

This is the email body sent when one or more alerts with a severity level of "High" or "Medium" are detected in the Contract Risk Check (Playbook Alert) results.

It includes information such as the need for action by the legal department.

(Determination: Legal action not required)

This is the body text sent when the Contract Risk Check (Playbook Alert) results show zero alerts with severity levels "High" or "Medium".

It includes a prompt for final confirmation by the business department.

[Result Details]

This section displays the results of the Contract Risk Check (Playbook Alert).

• ✕: Checkpoints detected as risks (*)

• △: Checkpoints where determination was not possible (*)

• ◯: Checkpoints determined to have no risk

Important Note

Even if "✕" or "△" alerts are detected, the email set under [Determination: No Legal Action Required] will be sent to the requester only if the importance level of all such alerts is "Low".


3. Set AI Automatic Contract Check Criteria in the Case Intake Form

① Open the [Form Screen] tab in the case intake form settings screen by following the steps in " Create and publish matter intake forms".

② Add [AI Automatic Contract Check] from the right side of the screen using the [+] button

③ Enter the [Contract Type Name] (the option the client selects when submitting the contract) and select the [Playbook to Use].

(*1) Can be entered as free text. Maximum character limit is 100 characters.

(*2) This feature applies to playbooks. Company template playbooks cannot be selected.

④ In the preview on the left side of the screen, check the following items under [AI Automatic Contract Check]:

  • Check if any options are missing from the [Contract Type] selection

  • Ensure option names are clear and unambiguous for the client to select (i.e., names that clearly indicate the contract type)

⑤ Publish the case intake form by following the steps starting from " Create a case intake form to accept cases - Create/Publish a case intake form - 1. Create a case intake form - Input fields in the [Form Screen] tab ".

Note

You can register up to 20 combinations of contract type and playbook as judgment criteria per form.


Regarding Notification of Judgment Results

When a requester submits a case via the case intake form and the AI automatic check is complete, the following email notifications are sent.

Notification to the requester

The requester will be notified via email of the determination result and its details.

The email subject and body use the template configured in the [ AI Agent Case Auto-Response ] screen.

For details on the email content, refer to "2. Setting the Judgment Result Email Template".

Notification to Legal Staff

The following LegalOn users will be notified of the determination results via email and in the [ Home ] activity feed.

  • Those with "Viewer" or higher permissions for the case

  • Matter Management: Pro users

    Subject: Case Risk Check Complete [Requires Legal Department Review / No Legal Department Review Required]: {Case Number}{Case Name}


Review the determination results and details in the [Timeline] or [Email] section of each case's details screen.

Important Notes

  • Be sure to set the determination criteria (combination of contract type and playbook) for each form.

    Even if the same playbook is used across multiple forms, settings must be configured for each form individually.

  • The notification email to the requester/legal representative regarding the determination result cannot be turned off.


Troubleshooting

Users of "Matter Management: Pro" receive an email stating [Case Risk Check Failed]:

The case acceptance was completed, but the AI automated check failed, and the determination was not performed correctly.

Please either guide the requester to resubmit via the form or have the legal department handle the accepted case.
