How to Set Up Single Sign-on (SSO) in LegalOn

Enable SSO and access LegalOn through your identity provider (IdP)

Purpose

The goal of this article is to help you understand the benefits of Single Sign-on (SSO), how to enable SSO, and how SSO impacts user experience. We will discuss the following topics:

  • Benefits of SSO

  • For IT admin users: How to set up SSO

  • For non-IT admin users: How to log in with SSO


Benefits of SSO

💡 Implementing SSO is beneficial in enterprise environments where users need frequent access to multiple systems. With SSO, your organization can manage a complex web of user credentials and access rights more efficiently and securely.

Below, we highlight four main benefits of using SSO:

  1. Improved User Experience: SSO simplifies the user experience by reducing the number of times a user needs to log in to access different systems or applications. With SSO, a user logs in once and gains access to all associated systems without being prompted to log in again at each of them.

  2. Enhanced Security: SSO can enhance security in several ways. First, it reduces the number of passwords users must remember, which can decrease the tendency to use simple, easily guessed passwords. Secondly, it centralizes the authentication process to a single point, which can be more rigorously monitored and controlled for security breaches.

  3. Reduced IT Costs: SSO can reduce the cost of IT support by decreasing the number of password reset requests, which are often a significant part of IT support services. Also, with centralized management of access and authentication, administrative tasks can be streamlined.

  4. Easier Management of User Access: SSO enables administrators to manage user access across multiple systems from a single interface. This makes it easier to grant, modify, or revoke access as needed, which is particularly beneficial in organizations with high employee turnover.


For IT admin users: How to set up SSO

To configure SSO for your organization, you need to meet the following requirements:

  1. You are subscribed to a SAML 2.0-compatible identity provider (IdP) service (e.g., Microsoft Azure)

  2. Your user authority in LegalOn is <Admin> or <Admin (Owner)>

  3. Your email address registered with the IdP is the same as the one registered with LegalOn

⚠️ Due to identity provider access restrictions, LegalOn is unable to configure SSO on your organization's behalf.

♦️ Step 1: Configure SSO settings in IdP

① Click [Configuration] → [Admin Settings] → [SSO Settings]

② Copy <endpoint URL> and <entity ID> and configure the settings for the ID provider you are using.

Identifier / Entity ID is provided by your identity provider (IdP).

♦️ Step 2: Configure SSO settings in LegalOn

① Obtain the following information from the ID provider set in step 2-2.

  • Endpoint URL

  • Public key certificate (X.509 certificate)

② Enter the obtained information in the "ID provider's endpoint URL (HTTP Redirect)" and "Public key certificate (X.509 certificate) used by the ID provider for signature" in the figure below.

③ Click [Register]

♦️ Step 3: Enable SSO

① Click <Enable SSO for all users>

② Select <Confirm> in modal


When the message "SSO enabled" is displayed, SSO is enabled. Changes to your login method will be applied the next time you log in.

The settings are now complete.

Next, leave the SSO settings screen open and follow the steps in "For non-IT admin users: How to log in with SSO" in another browser or in incognito mode of the same browser, and test whether the login is successful.

💡 Pro Tip:

We recommend using SSO from a different browser OR using the same browser in private mode (e.g., incognito mode if you use Chrome).


For non-IT admin users: How to log in with SSO

① Open “ https://review.legalontech.com/” and click “Start”

② Enter your <Organization ID> and click <Continue>

③ If the login screen for the ID provider you set is displayed, follow the instructions on the screen to log in.

For example, if your IdP is Microsoft Azure, you'll see the following login screen:

After logging in with your Microsoft credentials, the LegalOn home screen is displayed. This means that SSO login is complete. 🎉
