Template Contracts allow you to generate standard agreements by filling in a guided form instead of drafting contracts from scratch. By selecting a predefined contract template and entering key details such as parties, dates, and signatory information, the system automatically creates a complete and accurate contract. This ensures consistency, reduces errors, and helps users initiate contracts quickly, even if they are using the platform for the first time.

Step-by-Step Guide to Initiate a Template Contract

Step 1: Start a New Contract

  • Navigate to the left-hand menu and click on New to begin creating a contract.

  • From the available options, select Template Contract to use a predefined contract format.

Step 2: Select the Contract Type (Contract Template)

  • Use the Select Contract Type (contract template predefined by the organisation) dropdown to choose the required template, such as an NDA, MSA, Service Agreement, or any other available template.

  • Once the contract type is selected, you will be redirected to the contract creation form linked to that template.

Step 3: Fill in Contract Details (Meta Fields)

  • After selecting the contract template, a form opens displaying meta fields specific to the selected template.

  • These fields are automatically generated based on the structure and variable components of the chosen contract template.

  • The form may differ depending on the contract template predefined/customised by the organisation.

Key things to know about the meta fields:

  • Each field is clearly labelled to indicate the information required.

  • Mandatory fields are marked and must be completed before submission.

  • A help icon is available on fields where additional guidance is required.

  • Fill in the form with the required contract information.

  • Upload any supporting or reference documents if applicable.

  • The form captures all key values needed to generate the contract accurately.

Step 4: Configure Additional Contract Settings (Optional)

  • Add Labels to categorize and organize the contract.

  • Assign Followers to keep relevant stakeholders informed about updates.

  • Set Approvers to define the approval workflow for the contract.

  • Use Import to bring in data from an existing contract, if required.

Step 5: Draft Auto-Save and Progress Tracking

  • As you continue filling in the form, the contract is automatically saved as a draft, ensuring no data is lost.

  • Use the progress indicator on the side to track how much of the contract information has been completed and what remains.

Step 6: Submit and Initiate the Contract

  • Review all the entered details to ensure accuracy.

  • Click Submit to initiate the contract.

  • Once submitted, the contract will be available in the Repository, where it can be viewed, edited, and sent for further actions.
