Ask other users to help on an Action item assigned to you

Omni allows you to delegate an Action item to another from within your organisation or another organisation that is involved in the loan application. An action item can be one of two types, which have slightly different functionality:

  • Task - used to track completion of an item within a lender process

  • Notification - used to issue notifications to participants or parties to the lender process

Delegate functionality is designed for use within your organisation and to send information between a Lender and Funder. There are a number of scenarios where the delegate functionality can be used, for example:

  • Allocating an Action item to another user from within your organisation; or

  • Allocating an Action item to a user from another organisation that is involved in the application, such as a Lender's Funder who performs credit assessment; or

  • Requesting information from someone within your organisation or another.

Note: Info Request should be used when sending a missing information request to a broker.

How to Delegate

Click on an Action item to open it, or click on the 3 dots on and click 'Show detail'.

The Action item will open and you will see:

  1. The Delegate button

  2. Activity Tracking

The Delegate button

This gives you the ability to assign a new, temporary owner of the Action item, add a comment and delegate. Once delegated, the Action item will appear in the new temporary owner's My tasks for completion. Once they complete the Action item, it is ready for the original Owner to finalise.

Features of the Delegate button:

  1. Choose the channel of the team, role or person you want to delegate to

  2. Choose to delegate to a team, role or person

  3. Choose which team or role and then optionally which person you want to delegate to

  4. After delegating you are able to send a message to the delegate

The action item types of Notification and Task have slightly different functionality when delegated

Task

When the delegated party completes the task and clicks Done, the original nominated person will now own the task. This nominated person can choose to pass/fail or re-delegate based on the response provided by the delegate.

Notification

When the delegated party completes the notification and clicks Done, the delegated party has acknowledged the notification which will automatically set the item to completed.

Activity tracking

This section shows a record of activities that have occured for the Action item. When an Action item is delegated, or a response is received you will be able to view it in Activity tracking.

When the original owner of the Action item is satisfied that it is complete, they are able to mark it as Pass or Fail and complete it.
