How to Manage Your Tenants & Tenancies like a Pro:

How to Set Up a Prospect Tenant

  1. Click on the Manage tab and select ‘My Tenants’ under the Tenants section.

2. Select the "Add Tenant" button and then click the "Add Prospect" button.

3. Enter the prospective tenant's information in the contact details section:

  • Full Name

  • Email

  • Phone Number

  • Notes

4. Scroll down to the Tenancy Details section and attach the prospect to a property by entering the property name, unit name, and rent payment. Then click "Save".

  • Property

  • Unit Name

  • Rent Payment

Expert Tip: You can filter your My Tenants page to view just your prospective tenants by selecting the Prospect status only.

How to Generate AST

  1. On the "My Tenants" page, you can click the "Generate AST" button at the top of the page or hover over the desired tenant, click the three dots, and the file to Generate AST.

    • If you generate your AST from the white ‘Generate AST’ button, you will need to select a tenant next.

  2. Enter the general tenancy details, then click the "Next" button.

  3. Enter the payment details, then click the "Next" button.

  4. Enter the rent review details, then click the "Next" button.

  5. Choose whether to add a witness, then click the "Next" button.

    • If you choose to enter a witness, enter the details for both the tenant witness and the landlord witness.

  6. Review your agreement.

    • If satisfied, click the "Download and Save" button.

    • If more edits need to be made, click the "Manage Sections" button.

      • Click the three dots on the right of the section if you want to make a change to the section.

        • i.e., edit, delete, move up or down

  7. If you want to add a section, click the "Add section" button

How to Activate a Tenant & Create a Payment Schedule

  1. On the "My Tenants" page, hover over the desired tenant and click the pencil icon to edit a prospective tenant.

  2. Switch their profile to Active by clicking the ‘Active Tenant’ button in the top right corner.

  3. Since the tenant is now active you will need to add new details: tenancy period, payment starting date, rolling tenancy, rent review frequency, rent review date, security details.

  4. Click the "Save" button to finish.

  5. View the payment schedule created by hovering over the desired tenant and clicking the blue payment schedule icon.

How to Invite My Tenants to Their Own Dashboard

  1. From the "My Tenants" page, hover over the desired tenant and click on the invite tenant icon or click the "Invite Tenant" button on the top right of the page.

  2. Add the documents you want to share with your tenant, then click the "Next" button.

  3. Set up Tenant payment through Lendlord, then click the "Next" button.

  4. Confirm the information, then click the "Send" button.

  5. Once your tenant either creates their own account or logs in, they will be able to view their dashboard. Their dashboard will include: rental payments, documents, maintenance reports, payment schedule, property details.

How to Receive Maintenance Reports from My Tenants

On the tenants' side:

  1. Click on the "Maintenance Reports" tab.

  2. Click on the "Open maintenance report" button or the "New Report" button.

  3. Fill out the details in the form, then click the "Submit" button at the bottom right.

  4. Once the report is filed, your landlord will receive an email alert and be able to view and respond to the report as soon as they are able to.

Lendlord side:

  1. You will receive an email report with the description of the maintenance issue. To view the whole application, click the ‘Go to Application’ button in the email.

    • You can also find maintenance reports by navigating to the ‘Maintenance Reports’ page in the ‘Manage’ tab.

  2. Click on the report you want to view to see the full report, including any photos.

  3. Click on the bottom blue "Reply or Add a Note" text to reply directly to the tenant about the status or an internal note to yourself about the report.

  4. Click on the "Edit Status" button on the top right to either in progress or closed to keep both you and your tenant up to date on the progress of the maintenance. Then click the blue "Change Status" button to save.

How to Get Reminders on Overdue Rent Payments

  1. If there is an overdue rent payment, you will automatically receive an alert and email notification from Lendlord. Navigate to the "Alert" tab by selecting the icon in the top right corner.

  2. If the rent has been paid, you can manually track it by editing the payment on the ‘Payment Schedule’ page.

  3. If the rent has not been paid, you can click the green ‘Send a Reminder’ button on the alert to email a reminder to your tenant.
