People permissions provide the option to edit permission settings for manager, creator, and custom roles.

What is People Management?

People Management is a customizable permission setting on editable roles (manager, creator, and custom roles). People permissions settings control the extent to which users view and act on other people in the system.


Where are People Management Permissions?

Admins and users with permission to edit company settings can edit the Manager and Creator roles. To do so, select the gear icon in the upper right-hand corner > select Settings > then select Roles > select Edit Permissions.


How to Edit People Permissions

The Edit Permission page has a variety of permission settings an admin can set for users in the selected role:

1. No people management rights

With this setting enabled, users assigned to the role cannot access any users, the user's gradebook data, or assign content.

2. Can be granted management rights for people on a group-by-group basis

With this setting enabled, users assigned to the role can assign and add content to Learn for users in groups they manage, view Gradebook data for the same users, and grade all completions for these users.

Important Note: Users can only assign or add optional learning if the content has been shared with them.

  • If "Can create, edit, and archive people in Custom Groups they manage" is enabled, users in this role can create new custom groups and add new users to the custom group they manage. The Add Person button is not available until the group they manage is selected.

Important Note: Managers are not able to create new users if they do not have a custom group assigned to them.

  • When the above is enabled, "What roles can this role edit and assign to people?" permission appears. This determines which roles they can assign to, and which existing users can be edited.

  • For users in the manager role to make an initial assignment, the user must first own the piece of content and they can only assign it to the users they manage. Once an assignment is made, a manager can reassign, unassign, set due dates, and send reminders to users they manage, regardless of whether they own the content or not.


3. Has automatic management rights for all people and groups

With "Has automatic management rights for all people and groups" enabled, these users then have unrestricted access to all users in the account.

  • When "Can create, edit, and archive all people and groups" is enabled, these users have unrestricted access to all users and groups within the account.

  • If the above is checked, "What roles can this role edit and assign to people?" permission appears. This determines which roles they can assign to, and which existing users can be edited.


Edit and Assign to Users

Users with people management can be limited on the type of users they can create. Admins must select at least one role for the user to manage.

For example:

If an admin allows managers the right to create and edit users, they then may mark the Creator and Learner boxes. This allows all users assigned to the manager role to edit people they manage with the creator or learner role.

Since the checkboxes next to Admin and Manager are not checked, users assigned to the manager role could not edit or assign to these users.


Updating Permissions

When editing people management permissions this affects all users in the role being edited.

Once existing management permissions have been removed or updated, this action cannot be undone.

To prevent any accidental loss of management relationships, Seismic Learning provides a warning message after selecting "Save Role."

This notifies the user the action cannot be undone. To confirm the change and delete management relationships, the admin types in the name of the role into the text box and selects "Yes."

Select Cancel to close the warning without removing current management relationships and no changes are saved.


Manager Reporting

Roles with user permissions enabled have read-only access to the overview pages of assigned content for the people they manage.

If the user does not have shared ownership of the content, they are not able to make any additional edits.

The content's overview page can be accessed through a variety of workflows, including:

  • Select the content links located under the Latest Activity section on a user's overview page.

  • Select the content links on the Activity Feed tab, located under Insights.

  • Select the content links on the Training Activity tab, located under Insights.

  • Selecting the content links in the Gradebook.

Q. How is the Daily Digest email impacted by changes to people management permissions?

A. Daily Digest emails continue to work based on the role, not permission settings. Admin and manager roles continue to receive a daily digest email if content is available.ย 

Q. What happens to existing user management relationships when I edit which role a single user is assigned to?

A. When updating an individual's role, existing management relationships may be removed for the user depending on what the People Management permission is set to for the role. Anytime a user is assigned to a role where the People Management permission is set to "No People management rights," then existing management relationships are removed.

After existing management relationships are removed the action cannot be undone. If the user is changed back to a role where the People Management permission is set to "Can be granted management rights for people on a group-by-group basis," the management relationships need to be recreated manually for the user.

If the user is updated from the role "Can be granted management rights for people on a group-by-group basis" and their new role is set to "Has automatic management rights for all people and groups," then existing management relationships are not removed once the role change has been saved. If the user is changed back to a role where the People Management permission was set to "Can be granted management rights for people on a group-by-group basis" the existing management relationships will still be assigned.

Q. What is the default People Management permission setting for the Manager role?

A. By default, managers can be granted management rights for people on a group-by-group basis. They can be given permission to create, edit, and archive people in Custom Groups they manage, but this setting is disabled by default.

Q. What is the default People Management permission setting for the Creator role?

A. By default, creators have no people management rights.
