About This Feature
This element allows trainers to embed event registration workflows within their training curricula, bridging event and lesson deployment, and allowing learners to seamlessly register for events. Learners benefit by staying on task, and trainers benefit by tightly integrating lessons with affiliated events.
Before You Begin: You must have permission to create and manage events.
Add the Event Registration Element to a Lesson
In the lesson builder, select Add Element, and then select Event.
Select an event from the list or use the search bar to locate an event by keyword. The event element automatically populates any future-dated events in your tenant.
📝 Note: Content creators can only see and select the events they have permission to access.
You can also filter your events by name or recent update.
If there are no events in your tenant, the following message displays: "No events yet. Events that you can manage will appear here."
After you select an event, it appears within the element. To make an event mandatory, select Required. When this check box is enabled, learners are unable to complete a lesson without first submitting an RSVP.
To replace an event, select the cycle icon on the right side of the element.
Select Preview to see the element from a learner's point of view. Note that RSVP buttons are disabled in preview mode.
📝 Note: It's not possible to publish a lesson that includes an event registration element without first selecting an event.
Learner Experience
When learners encounter an event registration element, they can review the event's details and RSVP right from the lesson.
After learners select I Will Attend, they can select Add to Calendar to download an ICS file, which contains calendar information about the event.
Learners can also change their RSVP status within a lesson. These selections are then recorded on the guest roster of the event's overview page.
Frequently Asked Questions
Q. Can I restrict access to the event element?
A. Yes. Users who lack event management rights cannot add event registration elements to lessons.
Q. Can I restrict certain events from being added to lessons?
A. Users can only select events from the picker if they have permission to access them. This means:
If they have all event permissions, they can see and add all events to lessons.
If they have instructor permissions, they can only see and add their own events to lessons.
If they have no event permissions, they can't access the element or the event picker.
Q. Can I track the RSVPs of learners who register in a lesson?
A. Yes, the event registration element reports data to the Event page.
Q. After learners register for an event in a lesson, will it appear on their My Events page?
A. Yes.
Q. What happens if I’ve previously RSVP’d to an event?
A. Your RSVP status will accurately appear in the registration element.
Q. Do lesson downloads include event information?
A. Yes.
Q. Do learners receive confirmation emails after registering for an event in a lesson?
A. Yes.
Q. Can I see which lessons include my event from the event overview page?
A. Not at this time.
Q. What if the event in my lesson occurs in the past?
A. A message will alert you to this fact, but you'll still be able to publish the lesson. Note that you cannot add past events to a lesson, however.
Q. Can learners update their registration if an event occurred in the past?
A. This depends on your company's settings. If you've selected 'Allow learners to mark themselves as attended after the event is over’, learners can adjust their status.
Q. What happens if I include an event in my lesson, but the event is then archived?
A. When lessons include an archived event, creators are alerted to this fact. They can still publish the lesson, however. Learners will also see that the event is archived, and they won't be able to update their RSVP status for such events.
Q. Can I add an archived event to a lesson?
A. No.
Q. Can I use the event registration element for multi-session events?
A. Yes. Learners will see all sessions in the event, including past sessions.
Q. Must learners RSVP in order to complete a lesson?
A. No, learners can skip registration if they so choose. You can require their attendance in other ways, however: by including a note to this effect or by inviting them directly.
