Track Asset and Document Expirations

Monitor renewal and review dates, find upcoming expirations, and show the notes your team needs to act.

Keep renewal dates and document reviews in one place. Choose which date fields to monitor, then use Expirations to see what is overdue, due soon or coming later.

Choose the dates to monitor

  1. As an Admin, open Settings → Monitoring.

  2. Set Warn … days ahead to your preferred lead time. The default is 30 days.

  3. Select Monitor another date field, then choose an asset type and a date field. Only Date and Date & Time fields are available.

  4. Select Done to finish editing the row, then Save to apply your changes. Wait for the “Monitor saved” confirmation.

Done does not save your changes. Use Save to apply them or Cancel to discard them.

The default Domains · Expires At field cannot be removed. Select a custom row to change its monitored date field, or use its remove control to stop tracking it. Save afterward. Removing a field from monitoring does not delete records or clear their dates.

Include document expiry dates

Open a document and select Set expiry in its header, or select its existing expiry date. Choose a date and save the document’s changes. You need permission to edit the record in a writable organization.

In Settings → Monitoring, add Documents → Expires On to include those dates in Expirations. A record needs both a populated date and a matching monitoring configuration to appear.

Find the records that need attention

Open Expirations from the sidebar. The list follows your organization scope and only includes records you can access.

  • Expired: the monitored date has passed.

  • Expiring soon: the date is within your warning window.

  • Upcoming: the date is beyond that window.

Use search, asset-type and status filters to narrow the list. In the all-organizations view, you can also filter by organization. Open Display to choose columns and group results by asset type or organization, where available.

An asset can appear more than once if it has multiple monitored dates. Counts represent expiration results, not necessarily unique assets.

Show renewal notes in the list

Coming this week: Configurable notes and the notes preview are expected to roll out during the week of October 5–11, 2026. These controls may not be visible in your account yet.

Show renewal instructions, auto-renewal details or review guidance alongside each expiration. Notes come from an existing field on the asset, so there is no separate copy to maintain.

  1. In Settings → Monitoring, find the date you monitor.

  2. Open Show notes and choose a text or rich-text field from that asset type—for example, your SSL certificate renewal instructions.

  3. Select Save.

  4. Open Expirations. If the Notes column is hidden, enable it under Display.

Notes appear as a compact, single-line preview. Hover over or select the notes to see the asset, type, organization, status, expiry date and full notes. Keyboard users can Tab to the notes to open the preview.

You can choose a different notes field for each monitored date, across SSL certificates, documents and other asset types. Secret fields are not available as notes sources. Choose Show notes → None and save to stop displaying notes without changing the record.

In the column selector, Tracking identifies the date field being monitored; Expires shows its date.

Troubleshooting

  • A record is missing: check that its date field is monitored, the record has a valid date, your filters include it, and you have access to the record and asset type.

  • Notes are blank: check that a notes field is selected and the record contains a value in it.

  • Unavailable field: choose another notes field or None, then save.

  • No monitor configured: contact Lexful Support. Your account’s expiry monitor should be created automatically.

Monitoring helps you identify work to do. It does not automatically renew assets, archive documents or change access when a date passes.
