Info: Managing Your Team's Access to Shared Practices

Who this article is for: Organization Admins of organizations that don't directly own any practices, but have one or more practices shared with them by a connected organization.

If your organization works on practices owned by another organization — for example, you're a marketing agency working on practices owned by a DSO or MSO partner — those practices show up in your organization once the owning organization shares them with you. This article covers how you manage your own team's access to those shared practices.

Key terms

  • Shared practice — a practice owned by another organization that's been made visible to your organization through a connection.

  • Shared practice permissions — settings controlled by the owning organization that determine what your team can do at a shared practice (for example, whether they can see the interaction log). Your organization doesn't set these — the owning organization does. You are, however, able to reduce the permissions to be more strict than what the sharing organization has set.

  • Organization Admin — a team member with admin access to every practice available to your organization, including all currently shared practices, automatically.

These changes take effect immediately — no waiting on Liine or on the owning organization.

What's controlled by the owning organization (not you)

  • Which practices are shared with you — the owning organization chooses this, and can add or remove shared practices at any time.

  • What your team is allowed to do at a shared practice — permission settings (like interaction log or integrations access) are set by the owning organization's connection settings and apply to everyone your organization assigns to that practice. You are able to reduce these permissions if users in your organization shouldn't have all of the permissions that the sharing organization has set.

  • The role your team is given — anyone your organization assigns to a shared practice is automatically given "User" level access. This can't be upgraded to Admin at that practice through the connection.

If you need broader access or different permissions at a shared practice, that's a conversation with the owning organization, not something you can change from your side.


How to assign your team to a practice shared to you

You'll need: an Organization Admin login.

  1. Once the owning organization has shared a practice with you, it will appear as available in your Settings → Shared Practices view.

  2. Go to Settings → Users.

  3. Select the user(s) you want to assign.

  4. Open the Bulk Actions menu.

  5. Click Add to Practice, and select the newly shared practice.

No request to Liine or to the owning organization is needed for this step — if the practice has been shared, you can self-serve.

How to remove one of your team members from a shared practice

  1. Go to Settings → Users and find the user.

  2. Select the shared practice you want to remove them from.

  3. Click Remove from Practice.

This only affects that user's access to that specific practice. If they're assigned to other shared practices, that access is unaffected unless you remove it separately.

Making changes across multiple shared practices at once

  1. Go to Self-Service User Management.

  2. Select the user(s) you want to change.

  3. Open the Bulk Actions menu.

  4. Choose the action (for example, Add Practice or Remove Practice).

  5. Select the shared practice(s) to add or remove user access for, and confirm.


How access works

  • Organization Admin access covers every practice currently shared with you, automatically. If a new practice is shared with your organization, every Organization Admin gets access to it right away — no manual assignment needed for admins specifically.

  • Regular team members must be assigned individually (or via Bulk Actions). Unlike Organization Admins, non-admin users don't automatically get access to newly shared practices by default — you'll need to assign them if they only access select practices that are shared with your organization. If a user should have access to all shared practices, and all practices shared from an organization in the future, you can navigate to the All practices tab in the Practice access step when adding a new user.

  • If the owning organization stops sharing a practice, access is removed automatically. You don't need to do anything on your end — your team's access disappears the moment the practice is un-shared.

  • You can see who's assigned, but you can't increase their permissions. Permissions at a shared practice always come from the owning organization's connection settings. If, for example, the sharing organization indicates that Integration access is allowed for a shared practice, you are able to reduce these permissions when managing your users.


Common scenarios

"We were just shared a new practice — how do we get our team working on it?" Assign your team members using Bulk Actions → Add to Practice, as described above. Organization Admins already have access automatically.

"A team member left our company." Remove them from all shared practices in Self-Service User Management. If they were an Organization Admin, contact Liine to remove them from your organization entirely — this revokes all of their access at once, including at any practices shared with you in the future.

"We want a combined view across all the practices shared with us." Use Group Analytics — available from the account selector — to see combined leads, bookings, and conversion rates across whichever shared practices you select. You can also create a personal Practice Groups view (Settings → Practice Groups) to save a shortcut to a specific set of practices.

"A practice we used to work on disappeared from our dashboard." The owning organization has likely stopped sharing that practice with your organization. Reach out to them directly if you believe this was unintentional — Liine can also confirm the status of the connection if needed.

"We think we need more access than 'User' level at a shared practice." Users with access to shared practices are not able to be Admin users. Permissions for Interaction log access and Integration access are set by the owning organization, not by Liine or your organization. Reach out to your contact at the owning organization to discuss.
