Once you've completed the guide below, Lily will automatically log phone calls in the activity streams if you've added a phone number to a contact or an account. You can focus on the phone call itself, without the need to write it all down. Call logs are visible for your whole team, so everyone can easily see which colleague called what company or person.

Example 1: Inbound - Sjoerd called someone from your company.

Example 2: Outbound - Someone from your company called Sjoerd.


Follow the guide and make it happen:

Step 1: Setting up the call notification integration for your team
First of all, make sure you've already integrated your VoIP platform into Lily by using the VoIP telephony integration

Step 2: Find your number
To make sure Lily can link a phone call with you, you need to make use of a unique internal number or a unique outgoing phone number. Finding one is sufficient, and we recommend using the internal number from your VoIP user as it's most complete.

Step 2A: Internal number (recommended)

  • Log into your VoIP telephony platform.
  • Go to Users and find your own user.
  • Go to Telephony settings.
  • Scroll down to 'Number for colleagues', copy the number and continue to Step 3.

Step 2B: VoIP account number for 'Internal number'
You can find the VoIP account number, also known as your extension (3 or 4 digits), on your physical desk phone or in the mobile app. Be aware, Lily will only link phone calls with you for that specific phone or mobile app.

  • Log into your VoIP telephony platform.
  • Go to VoIP accounts and open your VoIP account.
  • Scroll down to 'Internal number (extension)', copy the number and continue to Step 3.

Step 2C: External number for 'Phone number'
If you have a unique external number, you can also use that. However, Lily will only link phone calls if you have a unique external number which isn't common as most companies use the same outgoing phone number.

  • Log into your VoIP telephony platform.
  • Go to VoIP accounts and open your VoIP account.
  • Scroll down to 'Outgoing number', copy the number and continue to Step 3.

Step 3: Link phone calls to individual colleagues

  • Log into Lily.
  • Click on My profile.
  • In the 'Internal number' field, enter the number from Step 2A or from Step 2B and skip the next step.
  • In the 'Phone number' field, enter your outgoing number from Step 2C.

You did it! 🎊 Lily will try to match incoming and outgoing phone calls with your internal number or phone number!

Curious how it works exactly?
Once set up, the automagic seems so simple, so we're more than eager to share the secret of how it all works:

  • At first, Lily tries to match your internal number or your unique phone number with the incoming or outgoing phone call. If found, Lily uses the full name from your profile and shows it like in the example below:
  • If nothing is found or there are multiple colleagues in your team using the same phone number, a phone call will still be logged but shown with the name of your company. See examples 1 and 2 at the top of this article.
