How to Update Fields for Existing Assets, Parts and Vendors in Limble

Overview

The bulk update feature allows you to quickly make updates to existing assets, parts, or vendors in Limble at one time.

This article will teach you how to perform a bulk update in Limble.

(Note: tasks of any kind, including templates, cannot be updated via the workflow outlined below.

To make bulk updates to tasks and task templates within the Limble app, select "Bulk Actions" on one of the task or PM templates pages and choose the desired action from the dropdown.)

How to Perform a Bulk Update

First, export what you need—assets, parts, or vendors (items)—for the desired update.

  1. Navigate to the Manage Assets, Parts, or Vendors page. In this example, we're updating assets.

  2. Click the "Bulk Actions" button. From the dropdown, select the "Update" option.

  3. In the new window, download your current list of items by clicking the blue "List" text in step 1.

  4. Open your file. First, save a copy of the original exported file. This ensures that you have a backup in the event you need to restore field data.

  5. Next, remove any data you do not wish to update. Remove any rows of items that are not being updated, and any fields that don't need to be changed. This will ensure you do not mistakenly update data that you wish to keep the same.

    (Note: be mindful of the upload limitations noted in the bulk update screen. If you are planning to update more than what is allowed in a single upload, batch your data into separate files.)

    You must keep the ID field in order so Limble can identify the item being updated.

  6. Next, make updates as desired, and save your file. In this example, I am updating the serial number and up/down status of a few of my assets.

  7. Navigate back to the Bulk Update screen using the "Bulk Actions" button and choosing the "Update" option from the dropdown.

  8. In the new window, select "Upload File."

  9. Select your file and upload as instructed.

  10. In the new window, you'll see how many items will be updated.

  11. Clicking the blue text will expand the list so you can see which items are part of the bulk update.

  12. Once you are ready to proceed, click "Confirm."

  13. Your updates will now be complete!

Advanced Updating of Associated Vendors & Parts

Bulk Updating Manually Associated Vendors


When you perform a bulk update for parts and are updating the "Manually Associated Vendors" column, please read this information carefully. When updating improperly, you risk removing existing associations.

For "Manually Associated Assets," do not remove existing associations from the row. Doing so will remove the associations upon upload.

Bulk Updating Manually Associated Parts

You can update the quantity of parts when performing a bulk update on your assets.

In the bulk update asset spreadsheet, in the "Manually Associated Parts" column, you will see each asset's currently associated parts. In that column, after the part, add {{Quantity:#}}, replacing # with your desired number of associated parts.

Continue to add this quantity identifier for each associated part you'd like to update.

When you export your list of assets or parts in the future, you will see this quantity included in that column.

(Note: this same functionality is also included in the bulk update spreadsheet for parts, but in the "Manually Associated Assets" column.)
