Listrak offers several sending options: one immediate send, one scheduled send, daily sends, weekly sends, or monthly sends. All scheduled messages will be saved in the scheduled messages queue. The user can change the content, date, time or cancel a scheduled message. Recurring messages can also be paused or cancelled.

You can access the when to send section anytime you are working on a message; this includes saved messages.

To create a new message using these options:

Navigate to Messages > Email New Broadcast Email.

Scheduling Options

  • Once/Immediately: The email will deploy as soon as you confirm the send (immediately).

  • Once/Scheduled: This option is the most frequently used to send a message one time at a future date. Using the calendar and clock icons, select the date and time at which the message should deploy. These messages can be send time optimized depending on account settings.

  • Daily/Recurring: This option will send a message every X number of days. When scheduling, enter the number of days (1-365), specify the time, and select the “Begins on” date.

  • Weekly/Recurring: This option will send a message on every X weeks based on the day of the week. When scheduling, enter the number of weeks and the time as well as the day(s) of the week the email should send.

  • Monthly/Recurring: Option #1: The first option will send based on X day every Y month. E.g. the 1st of the month every 3 months. When scheduling select the day of month, the number of months and a time.

💡 The number of days is set at 1-28 days to account for shorter months. If you would like your message to be deployed on the last day of every month, for example, use Option #2.

  • Monthly/Recurring: Option #2:The second option is based on the day of the week and it's relation to the month. For example, the first Monday of the month. When scheduling, select the occurrence you'd like to send your message and the day of the month you'd like the message to be scheduled as well as how often and what time the message should send.

Send Time Optimization

This setting uses information collected as a contact opens an email to send the email at a relevant time based on their time zone or activity.

  • Contact's Time Zone: Selecting to send based on a contact's time zone sends at the specified time in their time zone. For example. at 9 AM in contact's time zone.

  • Contact's Activity: Selecting to send based on a contact's activity sends an email when a contact is most likely to open and engage with an email. E.g. A college student may be most active at 11 PM, where a lawyer may be most active at 7 AM.

Important Tips

  • A send time optimized message must include a scheduled time. This is a 'fallback' time that is used if a contact does not have enough data to determine their customized time.

  • The message must be scheduled in advance when using send time optimization. Schedule message 24 hours prior to the scheduled time.

  • Send Time Optimization can only be used on a one-time message.

  • The multipass feature is not available when using send time optimization.

  • On the message history and message activity report a badge will indicate if a message was using Send Time Optimization.

  • As the emails are being sent over the 24 hour time frame, an In Progress label will be displayed that links to the Progress Monitor.

  • Delete a scheduled message by navigating to Messages > Email View Scheduled Email and clicking the trash icon.
