View the below video to ensure you're providing Listrak with the necessary data files for successful segmentation across your campaigns. 

Data is critical to making sure your Listrak campaigns have optimum performance. The data file setup allows you to format your data and confirm that it is in the correct format. You can do a one-time import via the data file setup or set up a recurring import.


To view existing data files or set up a new file, in the navigation, go to Solutions > Solutions Data File Setup.

Data File Dashboard

On this dashboard you will find elements to help you manage your data files.

  1. Domain drop-down: Select a specific domain to view their files. You will find all domains configured for the account in the dropdown.

  2. Notifications: Set up notifications to alert someone if an error occurs when importing a file or if there is a warning. You can specify the email address to send an alert to for these notifications.

  3. Import Type: Select a one-time import (e.g. for historical data) or a new data file to create a recurring import (e.g. for importing daily order information).

    ⚠️ The data file setup does automatically upload data when configuring a new recurring data file. You will also need to configure your FTP integration.

  4. Current Files: View the current files that currently importing on a recurring schedule.

  5. Deleted Files: Click the checkbox to show the files that are no longer being processed. This may be a completed one-time import, or a deleted recurring import that is no longer used.

A Few Notes

Before you begin the setup, below are a few things to consider:

  • The file you are uploading must be the same file extension that you have previously selected to use as the sample file.

  • Your file must be 250MB or less.

  • An import may take up to 2 hours to process, depending on the amount of data included in the import.

Configuring a Recurring Import

Settings

  1. Select the New Data File option.

  2. Specify the name of the file.

    ⚠️ This file name must match the name of the file Listrak is locating on an FTP.

  3. Select the type of file you are importing. You can import: customers, orders, order items, and products files.

    💡 When importing a product file you can configure a full or incremental file. Full files contain every product. Incremental files contain information about products where information has been updated since the last import.

  4. Select your import frequency. You can add numerical values from 1-99 and time increments of minutes, hours or days.

  5. Select a column delimiter that is used as the to identify where the different data points begin and end.

  6. Select a text qualifier, if one is used, that is included at the beginning and end of the data point.

  7. Select a Sample File. The sample file should include all of the data columns you will upload in your recurring import. The file name must match what was specified in the name field.

Mappings

In the mappings section, Listrak will try to automatically match the fields in your file with the accepted fields in Listrak's data schema. Learn more about the accepted data fields. The progress bar at the top will indicate how many of the fields are currently mapped.

If a column is mis-matched, click the trashcan by hovering over the incorrect field in the destination section. Drag the correct column from the available columns section. If a mapping was not automatically found, drag the correct data from the available columns section.

💡 When configuring the orders or order items file, you may have some rows in your file that contain order number (typically from your e-commerce system) and some that contain an alternative order number (e.g. store order number. When you map both columns, Listrak will process the data and use the alternative order number as the order number in our records when there is no order number present. This allows the order number to be referenced in things, such as filtering, or in solutions, such as Listrak CRM.

Transforming Data

Clicking the gear icon next to a field allows you to apply a transformation to your data. Transformations can help import clean, properly formatted data into Listrak. Select a transformation from the list to read more about what will be applied to the data. The preview will show you the effect of the transformation. Accept the transformation to return to apply the transformation and apply additional transformations or preview your file.

Preview Data

In the preview, you can view a few rows of your data based on the mappings you have configured. You can go back to previous steps to make adjustments, if necessary.

Click Save to save the definitions and mappings you have created. Your configured import will now appear in the Current Files section. Clicking the import now checkbox allows to you save the definition and import the content from your sample file.

One-Time Import

A one-time import is very similar to the recurring import. In a one-time import the sample file you upload will be the file that is imported into Listrak at the end of the import process.

  1. Select the One-Time Import option.

  2. Specify the name of the file.

    ⚠️ This file name must match the name of the file Listrak is locating on an FTP.

  3. Select the type of file you are importing. You can import: customers, orders, order items, and products files.

Preview Data

Click Save and Import Now to begin the upload process into Listrak. While the file is processing it will show in the Current Files section. Once the file has fully processed it will be moved to the Deleted Files section.
