Order management

In Order Management, as an organizer, you can manage your customers' orders, including modifying order details, processing returns or resending orders.

Orders of all events

The listing shows all orders made for the organizer's events.

  • Filter the view by specific event

  • Refine the view using search terms — enter a keyword, e.g., email address.

  • Click on a row to view detailed information about a specific order.

Order details

From the overview, you can see the following information about the order:

  • Order code

  • Order e-mail

  • Payment method - Paytrail, Epassi, Smartum, credit invoice, free order, reserved by organizer, or reserved by Liveto.

  • Status - Paid, Reserved, Invoicing, Cancelled, Refund Requested, or Refunded.

  • Total price

  • Product ammount

  • Funds manager - Either Liveto or the organizer.

From the order data, you can access more information related to the order, such as the payment deadline. The payment URL is a link sent to the customer in the confirmation message, allowing them to download tickets and/or modify participant information if provided.

Products

The listing shows all products associated with the order and their detailed information. From this view, you can download a specific ticket or navigate to the "View attendee" button to modify participant information.

Extra user fields

Details provided by the customer on the order form. You can edit this information, such as correcting an incorrect email address.

Documents

Order Management:

  • Send tickets - Tickets and the order recept will be sent to the order email

  • Download tickets - Download this order's tickets; this may take a few seconds if there are many tickets

  • Download receipt - Download this order's receipt to your device.

Order management and history

In Order Management, you can cancel paid orders and issue refunds to customers. Refunds for orders paid through Paytrail can be processed automatically. If the order was paid with Epassi, Smartum, or Procountor corporate invoice, please contact Liveto through the management chat.

  • Any cancellations and refunds are final.

  • You cannot cancel just one item from an order; the entire order must be canceled.

  • If the product has a service fee, it will not be refunded to the customer.

  • Complete the refund right after cancellation.

  1. Order cancellation

    • By clicking "Cancel Order," the entire order and its products are canceled. The tickets are invalidated and cannot be used for the event. Reserved products are released for sale.

  2. Order refund

    • Clicking the "order refund" button sends a command to Paytrail’s payment service to refund the payment to the customer's payment method (online bank, card). The refund occurs within 1-2 business days.

  3. Mark order as refunded

    • The order is automatically marked as refunded after processing the refund. If the refund is processed outside of Liveto’s system, you can manually mark the order as refunded using the button.

From the Order history section, you can view the order's event history and its current status.

Messaging history

Messaging history shows what messages have been sent to the buyer/participant. For each message, you can see:

  • When the message was sent

  • When the message was delivered

  • When the message was opened

  • When the message was read
