Creating an Event

To create a new event, go to the "Events" section and click on:

  1. + Create New Event

  2. Event Name: Enter the official name of the event.

  3. Event Type: Choose the type of event:

    • Live Event: A physical event.

    • Hybrid Event: A combination of live and virtual elements.

    • Virtual Event: An event conducted entirely online.

    • Other Event Format: For example, selling merchandise.

  4. Event Time Zone: Specify the time zone in which the event will be held.

  5. Event Time: Set the start and end times of the event.

  6. Event Visibility: Determine whether the event is private or public.

    • Private Event: The event will not appear in Liveto’s event search; the link is hidden.

    • Public Event: The event will be listed in Liveto’s event search (not until you publish it afterwards, the event will be created first as a draft).

  7. Create New Event: This button creates a new event.

After creating the event, you can modify other settings and create products, which can be accessed from the menu under Events -> Menu -> Event info.

Events will be listed under the "Events" section and are categorized by their status: drafts, ongoing events, upcoming events, past events, or archived events. From this page, you can also access the mass editor for events. Mass editor allows you to do edits for all the events at the same time.

The three dots on the event card allow you to:

  • Navigate to the event page

  • Copy the event name

  • Duplicate the event

  • Archive the event

Note: Events are initially created as drafts and must be published before they are live. If you archive the event, it cannot be listed back.

If the system does not allow you to publish the event and notifies you that the organizer account is not activated, please contact your designated Liveto representative or reach out via chat. Once you have made a new valid agreement with Liveto, the organizer account can be reactivated.

Event info

In this section, you can view general information about the event. Select “Event Details” from the menu to review the desired details.

If your event is in draft mode and you want to publish it, you can do so using the “Publish event” button in the top banner.

Summary: Find the URLs for the event page, virtual platform, and event app here.

Statistics: View event-related statistics such as total sales, used payment methods and demographic information.

Event Settings

  • Name and Descriptions: Edit the event name, description, and a shorter event summary.

  • Images: Set the background image and event image that will appear on the event page.

  • Event Time: Define the start and end times of the event and the virtual event access time. You can also set the time zone for the event schedule.

  • Location: Specify the location of the event with Google Maps.

  • Event Type: Define the type of event.

  • Publishing and cisibility: Configure visibility settings for the event. If the event is private, set the access key for the event pages.

  • Other: Configure additional settings, including keywords.

Finances

  • Payment Methods – Define the payment methods that will be available at the event.

    Refund Settings – Define whether tickets for your event can be exchanged through Liveto's customer service. Liveto customer service can exchange tickets if the exchange meets Liveto’s conditions:

    • The ticket is exchanged for one of equal or higher value

    • The ticket was paid for using Paytrail payment methods

    • The exchange applies to the entire order

    • The exchange request is made at least 4 days before the event starts

    • A service fee and handling charge will be withheld from the customer during the exchange

    • The exchange process works so that the customer first purchases new tickets, and after that, Liveto refunds the original order.

Localization

  • Language Settings: Define the languages for the event. This will affect the languages available for the event page, virtual platform, event app, and communication templates.
