How to view and analyse the stock on hand report

  • You need Stock permission to generate the stock on hand report. If you don't have access to this module, ask someone with Managers permission to update your user permissions.

To access head to Stock, Reports and then Stock on Hand.

  1. Select which template you'd like to generate the report for (for the example below we have selected 'Beverage') by clicking on the template title.

  2. Select the date you want to run the report for. You can even run it for a date in the past - no more pesky stocktakes a couple of days after you’ve just completed one. Happy operations team and happy accountant!

  3. The report will load for you and pull through calculate to the current day and time. It is organised in the same order as your stocktake templates with the stock items & their count by unit listed on the left-hand side.

How is each value calculated?

Calculation

Closest Count

The count from the Stocktake that is the closest date to the date you have selected to run the report. It can be either a past or a future date.

Received

The quantity of stock received between the Closest Count date and the Stock on Hand report date using the Received date for the invoice or purchase order and converted into the counting unit.

Calculated Usage

The quantity of the stock item used, calculated from POS Item links between the Closest Count and the Stock on Hand report date, converted into the counting unit.

Quantity on Hand

Closest Count plus Received, less Calculated Usage

Value on Hand

Quantity on Hand x Latest Price for the Stock Item at the date of the Stock on Hand report

  1. The Closest Count value uses the closest stocktake to the day you’re running the Stock on Hand report for. You can see the exact details of this by clicking on the value.


  2. The Received column will show all invoices, purchase orders & credit requests that have been received since your most recent stocktake. You can see the detail of this by clicking on the value.

  3. The Calculated Usage column will show all orders & wastage processed through the tills since your most recent stocktake. You can see the exact details of this by clicking on the value.

  4. The Stock on Hand column lists the estimated quantity of stock on hand (by unit) given the information from the prior columns.

  5. The $ Stock on Hand column lists the estimated quantity of stock on hand (by dollar value) given the information from the prior columns & your latest stock price. You can see the exact details of this by clicking on the value.
