Track your Maintenance activities using the Maintenance Module

The Maintenance module lets you plan and keep track of the maintenance activities within your fleet. It consists of plans, logs, due maintenance, and inspection, which help organize your maintenance activities.

Plans

Under Plans, you can create plans that’ll keep track of the various recurring maintenances of your trucks and trailers.

To begin, click on the 'Create New Maintenance Plan' button on the top right. While creating the plan, it’s important to include interval type and interval length as this will track the upcoming maintenances for the trucks and trailers added to the plan. An example can be seen below.

The status toggle must be enabled for the created plan to track the set interval for the trucks or trailers added to the plan. If disabled, you won’t be notified when the next maintenance is due.

If you want your dispatcher to be able to dispatch a load to a vehicle/trailer despite there being upcoming maintenance or due maintenance for it, then you can enable the toggles 'Validate Upcoming Maintenance' or 'Validate Due Maintenance at Dispatch' respectively.

By clicking on the 'Actions' button you can edit or delete the plan and also view the truck’s maintenance history in the plan.


Logs

Once a maintenance activity has taken place, it requires a maintenance log to be created for it. The Logs page consists of a list of all the maintenance logs saved on LoadStop.

To create a log, simply click on the ‘create new log’ on the top right and fill up the required details. The ‘Maintenance Plan’ here will be one of the plans that you’ve already created. In case you want to create a log for standalone maintenance, you can do so and leave the 'Maintenance Plan' field empty for it. The Mileage is a required field so enter the mileage as at the moment of the maintenance activity.

Once saved, you can also add the receipt from the vendor by clicking on ‘Add Receipt' on the right of your screen.


Due Maintenance

So that you never miss important maintenance for your trucks and trailers, the Due Maintenance page informs you all about the upcoming required maintenances. You can filter by Mileage or by days remaining and any advanced filters that you want to add. To create a new maintenance log for any of these due maintenances, just click on the Plus sign on the right.


Inspection

An Internal Inspection option for the companies based in California. A quick and easy way to fill out the 90 day BIT inspection for your trucks to keep them compliant.

To create a new inspection report, select the truck or trailer from the left of your screen. Once the truck or trailer has been selected, click on the ‘Create new truck inspection’ button. Fill the report by placing X in either the green box to indicate functionality or in the red box to indicate a defect. You can select all ok by clicking the box on the top left.

Once the report has been created, it can be downloaded in the compliant format by clicking on the 'Download' button on the right. It will display as shown below.
