Manage your company's Compliance

The Compliance Module lets you create and maintain any compliance-related documents you may require to run your business. It helps you ensure your company remains compliant with the regulatory authorities as well as with your own company policies. This article will discuss how to navigate the compliance module and the various features it contains.

Within the compliance module, you can manage all your compliance-related documents from a single place from the Compliance Management page. Everything that the Compliance module offers is accessible from this page. We will now discuss the various segments on the page, starting with the multiple tabs on top.

The tabs on the top of this page let you specify the entity being managed. They include drivers, vehicles, trailers, carriers, and additional tabs for pre-qualifications, where you can add the pre-qualification documents for any entity type, and accidents, where you can maintain a record of the accident reports. For each entity, the Compliance Management page will show you all the documents that have already been added as well as the ones still pending.

The segment on the left-hand side of the page displays a list of entity types for the specific entity selected. On the Drivers tab, this segment will display all the drivers in your company, and all the vehicles when under the vehicles tab, and so on. The Pre-Qualifications tab will show a list of drivers, and the Accidents tab will show the vehicles and trailers. You can also use the search bar or the carrier filter to look for the entity type.

Once a specific entity type is selected, the segment in the center of the Compliance Management page will display a list of all the compliance-related documents uploaded for it.

A glance at the columns will show you the document’s name, its type, if it’s required or not, the days remaining till its expiration, and its expiration date. If you click on the Actions button, you’ll get the option to edit, delete, download, and view the document. You can also scroll to the right and click on the Renew button to update the document. To download multiple documents, just select the documents you wish to download and click on the Download button above. You can view the list of all expired documents for the selected entity type by enabling the Show Expired toggle. To export the list of documents onto an excel file, just click on the Excel symbol below the toggle.

The segment on the right-hand side of the page shows a list of all the missing documents for the selected entity.

To upload any of the missing documents for the selected entity, just click on the Add Document button next to the document. You will then have to enter the details for the fields shown below.

In case you're not able to find the Document Type you are looking for, you can create a new one by clicking on the +Create New button.

This will allow you to create a custom Document Type as per your requirements. While creating a new document type, you may configure it to be required for the selected category. You also have the option to check for this document for the selected category and be notified at the time of dispatch in the case where the document is expiring, expired, or missing.

If you would like to be notified at the time of dispatch regarding any compliance document which is expiring, expired, or missing, you'll have to enable these settings from the main settings. To do so, click on Settings from the main menu and then click on the Loads tab. From there, scroll down till you reach the Safety and Compliance section.

From this section, you can configure the settings as per your requirements. In each case, you can select either to block dispatch or to show a warning only. Furthermore, you may also select the entities (Driver, Vehicle, Trailer) you would like for this to apply to.


Missing Compliance Documents

You can access the Missing Compliance Documents page either from the Main Menu under Compliance, or through the View Missing Documents button on the top right on the Manage Compliance page.

The missing documents page contains a list of all the pending documents that still need to be uploaded for all the entities. The purpose of this page is to help you identify if any important compliance documents are missing for any entity in your company and once identified, to let you upload the required documents.

You can specify the search by category by using the search dropdown at the top. If you have the information ready for any of the missing documents on the page and wish to upload it, simply click on the plus sign towards the right of the document. This lets you upload the document once you’re done filling the required fields for the document. You can also view any document forms by clicking on the View button towards the right side of the document.


Expiring Compliance Documents

You can access the Expiring Compliance Documents page either from the Main Menu under Compliance, or through the View Expiring Documents button on the top right on the Manage Compliance page.

The Expiring Documents page informs you about all the uploaded documents nearing or having passed their expiration date. On this page, you can filter the list by Category and Expiration Date. You can also filter by clicking on the column headings as illustrated below. To update a document with new information, simply click on the Plus sign towards the right of the document, upload the new document and insert the new expiration date.

You may also set up the TMS to notify you upon dispatching a load if the selected driver, truck, and trailer have any important compliance documents which have expired or are about to expire soon. To do so, head over to the Load Settings page, scroll down to Safety and Compliance Settings and configure the settings as per your requirements.


Pre-Qualifications

You can access the Pre-Qualification page from the Main Menu under Compliance.

The Pre-Qualification page lets you set up an initial evaluation that your company may conduct to judge the drivers' ability to qualify for the job.

The Pre-Qualification page shows a list of drivers along with some relevant information including their date of application and status. The status column shows whether they have been hired, not hired, or their application is in progress. To add more drivers to this list, click on the Create New Pre-Qualification button on the top right and fill the required fields accordingly.

Once the driver has been added to the list, click on the Actions button next to their name and then Edit to edit their information. When editing their information, click on the Documents tab to manage their pre-qualification documents. This tab will show you the existing documents in the middle, and missing pre-qualification documents still to be uploaded in the list on the right-hand side. To upload a document from the list of the missing documents, simply click on the Plus sign next to the required document and fill in the required details. If you can't find the document type you wish to upload, you can create a new document as per your requirements by clicking on the Create New Document button.

You can also manage your Pre-Qualification documents from the Manage Compliance page.


Accidents

You can access the Accidents page from the Main Menu under Compliance.

You may utilize the Accidents page to keep a record of any accidents involving your valuable assets and resources. The main page shows the record of all the accidents that have been created in the system, along with some important information such as the incident date and time.

To create a new record against any incident, click on the Create New Accident button on the top right and then insert the information accordingly.

Once a record has been created against any incident, you can click on the Actions button to edit or delete the information. While editing, you can even insert any notes if you'd like and attach accompanying documents that you may have.

You can also manage your Accidents related documents from the Manage Compliance page.
