Features And Enhancements For Your Invoices

This article will help users configure their invoice settings in LoadStop.

In order to access the invoice settings, go to Menu > Settings > Invoice.

Invoice Accounting Settings

The following settings are provided in the invoice module which can be configured according to your preference:

Tracking Factoring Payments

This setting is specifically for factoring payments. Users can turn it on to track the payments to their factoring company. Once enabled, you will see an additional category in the Invoice module for ‘Pending Payment to Factoring’.

Furthermore, all the invoices created in LoadStop will automatically be synced with your accounting software, such as NetSuite or QuickBooks.

Note: If you want to manually synchronize the invoices, turn the toggle off and save the setting. Head over to the Invoice module and you will see the option ‘Sync with Accounting’. This will allow you to manually sync the invoices with your accounting software. (See image below)

FleetOne Factoring Toggle:

Enabled only for the companies using FleetOne for factoring.

Stops Details:

Once turned one, stop details will be shown in the invoice.

Purchase Order (PO) Number Setting:

Once enabled, the purchase order number, which has been entered on the load, will appear in an invoice.

Pickup Number Setting:

Turning this setting on will include the pickup number in the invoices.

CC Email Setting:

Once enabled, the invoices will be shared with the user when sent to the customer. (See image below)

EDI Invoice Setting:

This setting is specific to companies using EDI to send invoices to customers. Once enabled, users will not be able to delete invoices sent through EDI.

Automating Completed Loads Setting:

By enabling this setting, invoices will automatically be sent to billing once they've been marked as completed. However, if the setting is off, the users will manually mark a load as complete by clicking on ‘Ready for Billing' in the load details page. Only then will the load appear in the invoice module.

NetSuite Post Date Setting:

Specific to NetSuite users only. Users can choose on which date they want to sync the invoices with their NetSuite account.

Invoice Date Settings:

Users can select the invoice date per their preference, which will be reflected in the Pending Payment > 'Created On' column in the Invoice module.

Invoice PDF Settings

The following settings are related to invoice PDFs and how LoadStop should display your information.

Data Display Options:

Turn on to see the truck and trailer numbers in PDF version of the invoice.

Stops Information:

Turn this toggle on to include stops details in the invoice PDF.

Remittance Information:

Turn on in order to see the remittance information (entered in the carrier profile) in the invoice PDF

Net Terms Information:

If enabled, any net terms created in the credit settings of a customer will be reflected in the invoice PDF.

Unit/Rate Information:

Turn on this toggle to see the unit/rate of the accessorials associated with your invoice in the PDF. If you only wish to see the total amount for each accessorial, keep the setting off.

Default Invoice Template:

LoadStop provides two different default templates for your invoices. Using the dropdown menu, select either Template 1 or 2.

Default Email Body For Sent Invoices:

Here, users can set up the email body for sent invoices. You can customize your email by utilizing the formatting options available.

Default Email Body for Collections (Overdue Payments):

Under the collections tab, users can set up the email body for reminder emails to customers with pending invoices.
