We have improved our TMS through some feature enhancements once again

Check out the following points of where the changes have been made. To learn more about any particular feature/change please go through the details of the changes after the points mentioned below.

  • You can now set Permissions for Agencies and Internal Agents for the Fleet and CRM module.

  • In Settlement Management and Batch Settlement module, the label Pay/Check date has been converted into Planned Pay Date.

  • A new Load Updates Panel has been added for each load in the Load module.

  • Users can now create Batch settlements for the Partner Carriers as well.

  • A new column Load Notes has been added in the Loads Table in Dispatch> Loads Module.

  • Two tabs Collection Invoice and Collection History have been added in the Collection Module.

  • A new feature has been added as Collection History where Seven new columns Invoice No, Short Code, Customer, Amount, Balance, Date/time and Notes have been added in the Collection History table in Collection Modules.

  • The users will now be able to send Invoices in bulk through the User Specific Email.

  • A new feature is added that creates a load when the user books a load in the Loadboard.

  • Using a single load template to create multiple loads in bulk is also available now.

  • Users can now create the folder for load template on the same page they edit the template.

  • There is an update in the Add / Edit Accessorial screen that will let the users create an accessorial and a balance from the same screen.

  • Internal and External agents will now have access to the Tracking Module as well.

  • Automatic Fuel Card Activation/Deactivation

Details:


A new feature has been added in the Agencies and Agents Module where you can set Permissions for Agencies and Internal Agents for Fleet and CRM modules. By clicking on the Permissions tab. You can choose which features are visible to the specific agency/agent. For example in the following feature, Agency is only allowed to see details regarding Carrier List, Driver List, and Drivers Team list in Fleet and Customer List in CRM.

Users can also set the permissions for an Internal Agent. Here Agent would be able to see information regarding all features in both the Fleet and CRM modules.

A new UI enhancement has been made In Settlement Management and Batch Settlement module. The label Pay/Check date has been converted into Planned Pay Date. Change in the label has been made for Company Drivers, Owner Operators, Carrier Settlements, and Partner Settlements and can be seen in both Settlement Management and Batch settlement modules.

The change is also reflected in the column heading in the table as can be seen below.

A new Load Updates Panel has been added for each load in the loads module which is closed by default. Once you click on the green arrows on the right side of the screen, the Load Updates Panel opens up. This panel shows all the changes for load along with the icons such as the addition of document, change of carrier or truck type, change in load status, and deletion of dispatch info. etc.

Another feature has been added to the TMS where you would now have the option to create Batch Settlements for the Partner Carriers as well.

To create a new Batch settlement, the users can choose different details such as the Planned Date, Pay cycle, Booking terminal, and Partner Carriers for which they desire to create settlements in that batch. Users can choose multiple Partner carriers at the same time in one batch as well.

A new column of Load Notes has been added in the Load Table in the Loads Module. Users can Add or Delete the Load Notes from the Load table as well,

Two tabs Collection Invoice and Collection History have been added in the Collection Module. Collection History include details for collection event regarding each and every invoice such as an email sent out against an invoice.

A new feature has been added as Collection History where Seven new columns: Invoice No, Short Code, Customer, Amount, Balance, Date/time, and Notes have been added in the Collection History table in Collection Modules. Short codes are representing the types of transactions. Their details are as follows:

  • Email sent will be listed as “E”

  • EDI send will be listed as “EDI”

  • Mail sent will be listed as “M”

  • Factoring sent will be listed as “F”

  • Email and Factoring sent will be listed as “EF”

  • Receipt by an external source(QB/NS/customer/etc.) will be EXT

Now users can send invoices in bulk through the user-specific email.

In Settings, the user will set up Email SMTP, and then from my settings in the profile turn the "use my email setting" toggle on. If the toggle is off, the default email set in the global settings or the carrier's profile.

Now a new load will be created in the system when a user books a load in the Loadboard module.

Note that, when the load is booked the user won't be able to cancel it from the TMS, they have to contact the Point of contact from where the load has come.

When the load is confirmed it will automatically go under the Dispatch>Loads module of the TMS where the user can dispatch it however he likes.

There is a new feature that allows users to generate multiple loads against a single load template.

Here the user can set up the settings using three parameters including Transit time for the load for example if a user wants the load to be created on Monday and Saturday, they will check those boxes, and then in the load per day box, the users will enter how many loads should be created in that day which can be any number i.e 2,3 or 10 and the third column “Delivery location availability tells if the location is available for the driver on that specific day for the delivery or not.

If a user sets up the multiple loads this way he will get an option to set it up for up to 4 weeks or a month.

With this new release, there is another feature where the agents are now able to access the tracking module as well. As soon as an agent logs in to the system, they can see the tracking module on the top of the page as can be seen in the image below.

The accessorial creation UI has changed with this release as well. Every time you need to create an accessorial and pay the accessorial amount to the driver/carrier as well, you can choose the “Paid by” option as either driver or carrier. Once that is done, some more options will pop up where the driver/carrier, settlement type, account expense, and vendor can be selected. Doing so will automatically create a balance for the driver/carrier against which you can create a settlement and pay the amount to the driver or the carrier.

EFS/Comdata Fuel Card Activation/Deactivation based on Active Loads

The fuel card activation feature is the newest feature in the TMS where the cards can be set as active or inactive. Active card status means that the drivers can use the cards to purchase the fuel and deactivated status means drivers can’t use the cards to purchase the Fuel.

In order to use this feature, the global settings need to be enabled first of all as can be seen in the image below.

Enable automatic card activation/deactivation based on Active Load (EFS/Comdata) This defines whether the automatic Fuel Card activation or deactivation option should be available for the tenant.

Enable automatic card activation/deactivation - For new cards - This defines whether for new EFS/Comdata Fuel Cards automatic activation or deactivation should be enabled or not.

In the driver’s profile under the fuel card tab, we have an option to add the fuel card and then turn on the “Enable Automatic Card Activation/Deactivation as highlighted in the image below.

Once the toggle is enabled, the card will be automatically marked as active, if the load is dispatched to the driver and the load info is sent to the driver’s app and the load status is “In-Transit”. When the load is completed then the card will be marked as deactivated automatically.

If a Fuel card is active then it can be Force deactivated by using Force deactivate option by going to Fleet > Fuel Card Report.

If a Fuel card is deactivated then it can be Force activated by using Force activate option by going to Fleet > Fuel Card Report.

Active and Deactivated status is triggered automatically by the system but Force activated and Force deactivated events are triggered manually so, you will also need to enter the time to let the system know when to trigger the event.
