EFS/Comdata Fuel Card Activation/Deactivation

Introduction

This article has information about how to use the feature for automatic fuel card activation/ deactivation but for more information regarding other modules visit our Help Center.

Automatic Fuel Card

The fuel card activation feature is the newest feature in the TMS (included in the release notes 45.0) where the cards can be set as active or inactive. Active card status means that the drivers can use the cards to purchase the fuel and deactivated status means drivers can’t use the cards to purchase the Fuel.

In order to use this feature, the global settings need to be enabled first of all as can be seen in the image below.

Enable automatic card activation/deactivation based on Active Load (EFS/Comdata) This defines whether the automatic Fuel Card activation or deactivation option should be available for the tenant.

Enable automatic card activation/deactivation - For new cards - This defines whether for new EFS/Comdata Fuel Cards automatic activation or deactivation should be enabled or not.

In the driver’s profile under the fuel card tab, we have an option to add the fuel card and then turn on the “Enable Automatic Card Activation/Deactivation as highlighted in the image below.

Once the toggle is enabled, the card will be automatically marked as active, if the load is dispatched to the driver and the load info is sent to the driver’s app and the load status is “In-Transit”. When the load is completed then the card will be marked as deactivated automatically.

If a Fuel card is active then it can be Force deactivated by using Force deactivate option by going to Fleet > Fuel Card Report.

If a Fuel card is deactivated then it can be Force activated by using Force activate option by going to Fleet > Fuel Card Report.

Active and Deactivated status is triggered automatically by the system but Force activated and Force deactivated events are triggered manually so, you will also need to enter the time to let the system know when to trigger the event.
