Set up Rate Cards to Pay Drivers and Owner Operators

Introduction

LoadStop allows you to create rates for company drivers and owner operators. We call this a rate card, which is personalized for each driver. This article will discuss the steps to set up your driver rate cards.

Navigation

Head to the rate card page by selecting the main menu, then Fleet → Drivers Rate Cards. This will take you to the main page for your rate cards.

Rate Card Setup

There are three main methods of setting up rate cards for company drivers:

1. Importing Rate Cards

At the top of the page is a button labeled “Download Template”. Please click to download an excel sheet for your driver rate cards.

Once downloaded, open with your Excel or Google Sheets application and fill out as many fields as needed, such as:

  • Id: driver identification ID number

  • Name: name of driver

  • Mileage Rate: rate per mile for the driver

  • Empty mileage rate: rate per mile for empty (unloaded) miles

  • Layover: flat rate per day of layover

  • Layover percentage: percentage of load primary fee for layover time

  • Detention rate: flat rate per detention

  • Detention percentage: detention fee as a percentage of the primary load fee

  • Other flat rates: other additional daily rates

  • Other percentage: other payments as a percentage of the primary load fee

  • Hourly rate: rate per hour of work (up to 8 hours)

  • Overtime rate (8-11): rate per hour of overtime (between 8-11 hours)

  • Overtime rate (11+): rate per hour of overtime (after 11 hours)

  • Weekly hour rate: rate for weekly hours (between 0-40 hours)

  • Weekly overtime rate: rate for weekly hours (between 40-60 hours)

  • Weekly overtime rate: rate for weekly hours (over 60 hours)

  • Per stop pay: fee for drivers per stop

  • After stop: number of stops before applying rate above

  • Invoice %: if paying the driver a percentage of the load invoice

  • Fuel surcharge %: rate for fuel surcharges

  • Daily Rate: used for daily flat rates

  • Rest and Recovery Hours: rate per hour of non-driving break time

  • Average Driver Worked Hours: the hours entered here are the average hours worked per load, used to calculate overtime

  • Pay Method: enter either cash, check, ACH, APB/EFT, EFS Express Pay, Compay, or Triumphpay depending on your preferred method of payment

  • Team Mileage Rate: rate per mile when driver is included in a team of drivers

  • Team Empty Mileage Rate: rate per mile when driver is included in a team of drivers and is covering empty miles

  • Per Stop Pay For Team: per stop pay when driver is included in a team

  • After Stop Pay For Team: number of stop before fee above will apply when the driver is included in a team

Note: not all fields are required to be filled out, just the ones that are needed for your drivers to be paid accurately

Once all information has been entered and saved in the excel file, you may import the entire sheet by clicking “Import Drivers” on the Driver Rate Card page.

2. Entering Rate Cards Manually

To create a rate card for individual drivers already added to LoadStop, you may enter the information directly in the Drivers Rate Card page.

Don’t forget to hit “Save“ when done.

3. Creating Rate Cards in Driver Profiles

Open the profile of the driver you wish to create a rate card for, by clicking on the main menu, then Fleet → Drivers. Here, use the filters to find your driver, and open the profile by clicking on their name (in blue text) or by clicking on Actions and then Edit. A pop up will appear.

When the pop up appears, scroll down the “Driver Details” tab and locate the sections labeled “Rate Card” and “Team Rate Card” to set up and/or edit a driver’s rate card. Click “Save” when finished.

Per Diem Rate Cards

The current rate card setup is designed for hourly or percentage-based payment rates. To set up a per diem rate for your drivers, a settlement type and rate will have to be created separately. To begin, we will create a new settlement type for the per diem, and then add the rate to the driver profile.
