Connect Fuel Cards to Drivers or Vehicles for Easy Payment Processing

Introduction

Fuel cards are used for drivers to pay for fuel along their trip. Each card can be assigned to an individual driver or truck. Currently, LoadStop can integrate fuel cards from Wex EFS, Comdata, BVD Petroleum, QuickQ, and PrePass. For any other fuel cards, we offer a custom fuel card option. Furthermore, you can connect fuel cards to individual drivers or trucks depending on your needs. For more information regarding fuel cards or other modules, visit our Help Center.

Connecting Fuel Cards to Drivers

To begin your fuel card setup, navigate to the Fuel Cards Reports page. From the main menu, click on Fleet → Fuel Card Report. Here, you will be able to see a list of all drivers with and without assigned fuel cards.

On the left hand side is the column for drivers with no assigned fuel cards. At the end of the row is a column labeled “Card #” with a green card icon.

Click on the card icon to open a pop-up window.

Here, the driver’s name is already entered. Next, select the fuel card type (the fuel card provider) from the drop down menu. If your fuel card type is not listed, select “Custom Fuel Card” and proceed as normal. Finally, enter the last 7-8 digits of the fuel card assigned to that driver. You may enter all fuel card digits, but LoadStop requires a minimum of 7-8 digits. Click “Save” when done.

Note: if you wish for the fuel purchases to be added to the settlement as a deductible, enable the toggle labeled “Is Deduction”.

Now, work your way down your list of drivers and add the appropriate rate cards.

Connecting Fuel Cards to Trucks

To begin, head to your list of trucks by navigation to the main menu and clicking on Fleet → Vehicles to see your list of trucks.

Click on the truck you wish to assign to, in order to open its profile. Select the tab labeled “Fuel Cards”.

Once open, identify the “Create new fuel card” button on the right hand side.

A new pop-up will appear for you to enter your fuel card information.

The vehicle number will already be filled in for you. Under “Fuel Card Type”, select your fuel card provider. If your provider is not listed in the dropdown, select “Custom Fuel Card” and proceed as normal. Finally, enter the last 7-8 digits of the fuel card assigned to the truck. You may enter all fuel card digits, but LoadStop requires a minimum of 7-8 digits. Click “Save” when done.

Note: if you wish for the fuel purchases to be added to the settlement as a deductible, enable the toggle labeled “Is Deduction”.

Now, work your way down your list of vehicles and add the appropriate rate cards.
