Info Request - request and receive documents and information directly from your applicants

Info Request is a secure, digital channel between you and your applicants.

The Tama ecosystem has Info Request buttons throughout it which allow you to send requests to your applicants to answer questions, provide information or supporting documents. Your applicants will be able to review and respond to your request via a secure portal. Responses land straight back into your Tama workflows, such as loanapp and supporting documents, ready for you to use the response to finalise your work.

The Info Request section in Tama allows you to view all info requests you have made on each application, and receive and process any Info Request responses. You can navigate to the Info Request section of Tama in two ways:

  1. Find your specific application in the dashboard, and then select Info Request in the modal (three dots) on the right of the record. Here I have selected the options for the O'Donnell application:

This will take you to the OMNI dash for the O'Donnell application.

2. Without specifying an application, you can use the menu in the top ribbon to navigate straight to the Info Request section by selecting Solutions/Application Processing/OMNI:

This method will take you to Info Request page, but will not have selected a particular application record. To find the application/record you were after, use the dropdown at the top of the screen on the Info Request page:

When you navigate to a particular application, you will see the Info Requests that have been requested, received and processed:

Making an Info Request

To make an info request while you are working on an application, you can either click the Info Request button in the section you are working in (eg supporting docs), or navigate to the Info Request page. Here I am triggering an Info Request from the Supporting Docs page:

When you trigger an Info Request, you will be presented with the following page to create and send your info request:

  1. Create a title request - this will be the title that your applicants receive; and also the title that will appear on your list of requests for this app.

  2. Select whether this is a document upload, or information only type of request. Note that if you specify this is a document-type request, the applicant will have to upload a document to fulfil the request

  3. Request from is a drop down of all parties that are participants to a loan. Participants will be yourself, your applicants, and anyone else you add (eg your admin staff). This dropdown will list the names and emails of your participants. Note a person must be a participant in order to be able to receive an info request.

  4. Add a message to your applicant

  5. You can select from this dropdown the 'category' a requested document should land in. This can automate supporting docs checklist management.

  6. The document upload instruction is the standard instruction your applicants will receive on the request. You can click the eye at the right of the dropdown to review and edit this instruction.

  7. Preview request allows you to review the request as if you have just received it.

  8. Send request will send the request.

When you send an info request, your receiver will get an email message notifying them of your request:

Note that the branding on info requests will reflect the branding of the lender you are applying to - unless you set the branding in your Tama to reflect your own branding. To find out how to set the branding on your info requests, click here.

When your receiver clicks 'here' as instructed on the email, they are asked to set a password to their portal (this will only happen the first time they are invited by a request).

Once they have set their password, they will be taken to the login screen, and asked to login. Once in, they will be presented with a list of Info Requests you have made to them:

Your applicant will be able to click on the request to review the details, and to respond with a document or information:

Note that the applicant can use any device (eg mobile) to review and answer:

Your applicant can then upload docs/add comment and submit back to you:

Receiving an Info Request response

When your applicant has sent back a response, you will see in your Tama ribbon that you have a response.

This Notification Bell is visible from any screen (you dont have to be in Info Request to see you have a response waiting). When you click on the Bell, from any screen in Tama, you will see what Info Requests you have received and are waiting for you:

You can click on this notification; and you will be taken to the Info Request section, with the relevant request that has been returned:

When you open the request, you will be presented with your original request (1); and the reply from your applicant, including any uploaded documents (2):

If you click on the PDF icon of any uploaded document, it will be maximised for review:

You can close off the Info Request by choosing an Action (eg accepting the document and sending it to supporting documents):

This action will send the document to supporting documents, ready for you to use.

You can use Info Request as a convenient and secure way to communicate with your applicants at any time during your application submission - even after you have submitted the application, it can be used for passing on Missing Information Requests to the applicant.
