Delegate my duties to another Authoriser

You're counting down the days. You have the date circled. 6 months in the making, 2 weeks holiday here you come! Now to tidy up the loose ends... setting up who will take your over your duties in your absence.

In the Locomote Corporate Travel Platform there is the ability to pass your assigned role duties to another user with the same authority for a set date range, if you are going to be away for a period of time.

This enables you to defer those responsibilities until your return, where the delegated role will revert back automatically.

In the event the delegation was not able to be set up in-time, a traveller can forward trip their trip request authorisation to a different Authoriser. Review this article on how to do this.

Create a Role Delegation

  1. Click on the user Avatar to the right-hand side and select My Profile to access your profile

  2. Click on the Role Delegation tab located in My Profile

  3. Fill out the form with information about your time way from work. In the Description field, provide details about your time away from work; set the Start and End dates, search for and select the names of the Authoriser(s) you wish to delegate your Authorisation duties to

  4. Once details have been filled out, click Create Delegation to save these changes

  5. A green notification will appear at the top of the page, confirming the delegation has been successfully submitted

  6. An active banner will display in the Role Delegation module once the delegation becomes active via the start date. A prompt will also display on the Dashboard advising of the role delegation and who the role(s) are delegated to

  7. The authoriser(s) involved will also see a notice on their dashboard, once they log into the platform (and once the authorisation becomes active. Email notifications will be sent to the newly delegated authoriser(s) advising of their duties required

Edit a Role Delegation

  1. Click on the user Avatar to the right-hand side and select My Profile to access your profile

  2. Click on the Role Delegation tab located in My Profile

  3. Any active Role Delegation(s) will be displayed. From the active Role Delegation, update the date(s), detail(s) or authoriser(s) involved

  4. Once details have been filled out click Update Delegation to save these changes

  5. A green notification will appear at the top of the page, confirming the delegation has been successfully submitted

  6. If the dates are current, then the green active banner will be displayed, otherwise a grey inactive banner will display until the start date rolls around. If active, a prompt on the Dashboard will be updated, advising of the role delegation changes and who the role(s) are delegated to

  7. The authoriser(s) involved will also see an updated notice on their dashboard, once they log into the platform (and once the authorisation becomes active. Email notifications will be sent to the newly delegated authoriser(s) advising of their duties required and also to any new or no longer required authoriser(s).

Remove a Role Delegation

  1. To remove a Role Delegation, click on the user Avatar to the right-hand side and select My Profile to access your profile

  2. Click on the Role Delegation tab located in My Profile

  3. Any active (or inactive) Role Delegation(s) will be displayed. Click Cancel Delegation to submit changes and remove the assignment

  4. A browser prompt will appear, asking you to confirm OK or Cancel. Click Cancel to disregard any changes made or click OK to proceed

  5. Once OK has been clicked, a green notification will display at the top of the page, confirming that changes have been successful

  6. Once removed, there will be no prompt on the Dashboard and any authoriser(s) involved will also no longer see the prompt on their Dashboard

  7. Email notifications will be sent to the any delegated authoriser(s) advising all parties that the delegation is no longer required
