Why do we travel? Why do we explore? Sometimes we travel, only to find what we need at home.

However when it's apart of our job, our bread winning ways to pack the suitcase and the garment bag and then pull into the airport, sometimes short term and other times long term, then it's a way of life. Long hours in layover, longer hours in the hotel. But hey, it's all claimable right!

Within the Locomote Corporate Travel Platform, defining and setting custom Reasons for Travel is simple. Whether you have predefined reasons within your company's travel policy or you need to create some new ones, configuring and providing adequate reasons for your traveller's trip requests is an excellent auditing tool, to ensure the overall purpose can be identified, tracked and reported upon.

Create a Reason for Travel

  1. Click on the user Avatar and select Admin to access the Admin home page

  2. In the left-hand navigation panel click on Reasons for Travel

  3. In Travel Reasons, click on + Travel Reason

  4. Fill in the necessary fields by providing a Name for your travel reason, and a Code (if applicable).

  5. Select the checkbox for "Traveller must enter a short comment when selecting this Travel Reason" if you would like the traveller to expand on the reason (optional)

  6. Click Save

  7. A green notification will appear at the top of the page to confirm that the 'Travel Reason was successfully created.'

  8. The newly created Reason for Travel should now appear as an active reason, in alphabetical order of the listing within the Travel Reasons page

  9. A Reason for Travel module will appear in the workflow (if this has been configured as a module) and will allow the traveller/arranger to fill this out.

Edit a Reason for Travel

  1. Click on the user Avatar and select Admin to access the Admin home page

  2. In the left-hand navigation panel click on Reasons for Travel

  3. On the list in Travel Reasons page, locate the reason you require to edit. Reasons can be searched on by Name or Code

  4. Once the reason has been identified, click on Edit next to the appropriate reason

  5. Make the required changes (ie. either to Name or Code) and click Save

  6. A green notification will appear at the top of the page to confirm that your changes to the reason were successfully updated.

Disable a Reason for Travel

  1. Click on the user Avatar and select Admin to access the Admin home page

  2. In the left-hand navigation panel click on Reasons for Travel

  3. On the list in Travel Reasons page, locate the reason you require to edit. Reasons can be searched on by Name or Code

  4. Once the reason has been identified, click on the active toggle under State heading, next to the appropriate reason

  5. A prompt will confirm with "Are you Sure?" Click Cancel to back out of disabling the reason or click Proceed to proceed with disabling the reason

  6. A green notification will appear at the top of the page to confirm that the Travel Reason has been "Successfully inactivated."

  7. The Travel Reason will now appear inactive in the list, where the Edit button will be removed

  8. To edit or change an inactive Travel Reason, you will first need to reactive the reason.

Note

Travel Reasons data can be exported by clicking Export to CSV in the header bar (to the right of + Travel Reason). This will produce a basic report of Travel Reasons, with created, updated and deleted (archived) dates.
